Cozen O'Connor has an excellent opportunity for a dynamic full-time Legal Practice Assistant in the Philadelphia office. This is a hybrid position working with the Pennsylvania and New Jersey Government Relations Practices of Cozen O'Connor Public Strategies. The ideal candidate is an enthusiastic self-starter, who is able to perform extensive multi-tasking under numerous time constraints with exceptional attention to detail, take initiative, think strategically and independently, and interact with all levels of the firm, clients, and government stakeholders. The position requires excellent communication, organizational and computer skills.

Responsibilities:

• Provide administrative support to team of government relations professionals in a dynamic environment

• Maintain calendars - scheduling appointments and conference calls with clients, public officials, and guests

• Calendar and help coordinate details for group events, political events, client visits, and meetings

• Assist with lobbying compliance requirements, including lobbyist and client registration filing and quarterly reporting

• Prepare, proofread, and process all engagement letters and other correspondence; prepare new matter forms, and perform conflicts checks

• Arrange travel and lodging to and from various locations

• Monitor emails and respond promptly to those that can be addressed

• Input time, including detailed lobbying records, into the InTapp system

• Work with an assigned biller and review client bills

• Maintain, input, and update all contacts

• Track, compile, and organize expenses - submit expense reports, invoice requests, and reimbursements into Chrome River

• Manage files and other administrative tasks

Qualifications:

• Office/Clerical Administrative experience is required. A minimum of 5 years of experience as a legal, public official, political, or government relations assistant preferred

• Must possess strong organizational and communications skills, both verbal and written

• Must be detail orientated with ability to draft, proofread, and edit correspondence, documents, and e-mails with minimal supervision

• Extensive experience with data management using InterAction (CRM), Chrome River and Microsoft Suite with advanced level experience in Word and Outlook

• Ability to work well under pressure and strict deadlines

• Strong interpersonal skills

• Familiarity with, and/or interest in, Pennsylvania and New Jersey state and local government and politics a plus
