The Human Resources Support Specialist assists with successful delivery of People & Culture Group Programs by providing clerical, data entry, and filing support. The role will be responsible for assisting with the administration of all People & Culture Group functions, such as Benefits Administration, Training, Recruitment, and the Office of Civil Rights Programs of the San Mateo County Transit District (SamTrans).

The Human Resources Support Specialist assists with successful delivery of People & Culture Group Programs by providing clerical, data entry, and filing support. The role will be responsible for assisting with the administration of all People & Culture Group functions, such as Benefits Administration, Training, Recruitment, and the Office of Civil Rights Programs of the San Mateo County Transit District (SamTrans).
Essential Functions & Duties
- Provide confidential administrative, clerical, and data entry support to the People & Culture Groups including Human Resources, Employee Relations, Benefits & Leave Administration, Civil Rights, and Social Equity.
- Responsible for special event support including organizing meetings and events, working with vendors, preparing meeting rooms, developing agendas and other meeting materials.
- Provide customer service style responses to employees' inquiries and requests via email, phone, or in-person.
- Prepare semi-monthly and ad hoc expense reimbursements and route for approvals.
- Collaborate with People & Culture Group teams to update policies, develop forms, and implement changes to standard operating procedures (SOPs).
- Assist Chief and Director with calendar management.
- Gather, review, and assemble data. Create spreadsheets, reports, tables, graphs, and agendas.
- Review, validate, and process invoices.
- Coordinate with vendors directly, including ordering and timely processing of payments.
- Assist with maintaining and updating employee files and records management.
- Coordinate travel and complete Travel Authorizations for executive approval.
- Purchase and keep inventory of supplies and equipment.
- Responsible for assisting with day-of event logistics for range of events for employees, customers, and the public.
- Perform all job duties and responsibilities in a safe manner to protect oneself, fellow employees, and the public from injury or harm. Promote safety awareness and follow safety procedures in an effort to reduce or eliminate accidents.
- Perform other duties as assigned.

Development of the required knowledge and abilities is typically obtained through but not limited to:
- High School Diploma, GED, or equivalent.
- Three (3) years full-time experience in clerical or data entry work.
- Ability to use initiative and independent judgment, work with interruptions and changing priorities, organize work and follow-up assignments with minimal supervision.
- Experience with PeopleSoft HRIS and Finance Information Systems.
- Experience working in a public agency.
- Excellent customer service skills, experience in customer service preferred.
- Strong oral and written communication skills.
- Experience working within Human Resources, payroll, or legal function preferred.
