Job Summary:

The Fiscal Operations Assistant performs some accounting functions and general office/administration duties in connection with the National Institute of Food and Agriculture (NIFA) funding.

Duties and Responsibilities:

  • Assists in the development and preparation of the current Federal Financial Report (formerly AD-419 Research Report) due each February 1 (calendar yr.).
  • Handles assignment of fleet vehicles; Performs data entry duties as assigned.
  • Files, copies and provides department workflow support, handles reception duties.
  • Oversees internal postage meter, postage supplies, and bill payments, etc. for Cooperative Extension.
  • Receives and distributes internal payment invoices (ex. Pettigrew and AG Tech Conference Center, etc. and external payment invoices (FVSU Foundation, Alumni Affairs, etc.).
  • Verifies amounts and codes on various documents for accuracy.
  • Receives payments (reimbursements, registration, etc.) and makes deposits to cashier's office, after receiving appropriate approval from supervisor.
  • Manages supply inventory and orders supplies as needed.
  • Supervises student workers.
  • Performs other office duties including, but not limited to, typing correspondence, making reservations, scheduling appointments, and making phone calls.
  • Performs other duties as assigned.

Qualifications:

Minimum:

  • Bachelor's Degree
  • Two years of clerical experience
  • Valid driver's license
  • Proficient in Excel, Word and Access
  • Strong organizational skills
  • Possess good follow through and attention to detail
  • Possess good customer service skills
  • Possess strong verbal and written communication skills
  • Demonstrated ability to work effectively with students and co-workers

Preferred:

  • Bachelor's Degree in accounting or business-related field
  • Experience working in an office setting

Working Conditions:

  • Travel (overnight and day trips) required, as needed
  • Evening and/or weekend work may be required
  • Climate controlled environment

Physical Requirements:

Employee performs repetitive tasks periodically. The employee must frequently lift and/or move up to 25 pounds.
