Counseling & Recovery Services of Oklahoma provides mental health and substance abuse treatment, physical health care management and wellness services for over 5,000 children and adults annually. We are Oklahoma's only community mental health center certified in the Sanctuary model of care. Using this model, the agency provides trauma-informed care helping to create an environment of safety, identify and manage emotions, process loss and help clients create a future of growth and change. Due to tremendous growth, we are hiring an Administrative Assistant to the Director of Operations at our Tulsa location. Special Knowledge, Skills and Abilities:
- Demonstrated ability to work with executives and to coord a high volume of diverse assignments, effectively handle competing priorities, and maintain attention to detail.
- Requires a high level of independent planning, judgment, and problem-solving skills.
- Proficient utilization of Microsoft Office applications, including creating new complete report formats.
- Ability to effectively prioritize multiple projects and manage deadline pressure with consistency and efficiency.
- Must possess and demonstrate the ability to process complex information within established procedures/programs.
- Ability to use good judgment and make sound decisions utilizing the appropriate amount of information within the realm of authority.
- Excellent organizational, interpersonal and communication skills.
Example of Position Responsibilities:
- Will manage the day-to-day administrative affairs of the Director of Operations' office. Schedule appointments and other commitments. Provide the Director with background information and/or supporting documents in preparation for scheduled appointments, meetings, conferences, interviews, etc. Follow up with staff to ensure deadlines are met.
- Maintain an efficient flow of information between all levels of the Director of Operations' internal and external contacts on a wide spectrum of the organization's plans and priorities.
- Process all incoming correspondence received in the office of the Director of Operations, prioritizing and determining its disposition. Direct mail to appropriate internal staff. Draft responses for the Director's signature based on knowledge of their activities, interests, priorities, issues, etc. Respond to and handle confidential and sensitive information with tact and diplomacy.
- Review other prepared documents requiring the Director of Operations' signature, e.g., Requests for Recruitment, Recommendation for Employment, Clinical Privileging forms, expense reports, contracts, etc.
- Review, proofread, and format correspondence prepared for the Director of Operations' signature to ensure accuracy and completeness, etc. as well as consistency with organizational policy.
- Make and review travel arrangements for the Director of Operations; prepare the itinerary, confirm lodging and transportation, and process travel reconciliation as needed.
- Practice and promote the Sanctury model seven commitments (nonviolence, emotional intelligence, social learning, open communication, social responsibility, democracy, and growth and change), SELF, and Tools with staff and clients.
- Create, facilitate, and provide minutes for meetings on behalf of the Director of Operations as necessary.
Other Duties: Perform other duties as assigned by the Director of Operations.
Physical Requirements: Must be able to move from location to location, bending, stooping, lifting 25 pounds, communicate clearly, prepare written communications, present information to other employees, process complex information within established procedures/programs, enter data to various programs. Must be able to climb stairs and access non-handicapped equipped residences/facilities.
