Job Description
Lutheran Social Services is seeking a qualified Executive Assistant to provide administrative support to the CEO, Human Resources Department, and Accounting Department as requested.
Qualifications: Associate's degree in Business Administration or a related field required; Bachelor's degree preferred
At least 3 years of experience supporting department directors or executive positions preferred
Schedule: Full-time, Monday through Friday. Occasional flexibility with hours is required.
Salary: $20 to $27.68
Job Summary: The Executive Assistant facilitates the efficient operation of the assigned departments by performing a variety of clerical and administrative tasks as outlined below.
Duties/Responsibilities:
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff
- Prepares and distributes Board Committee packets, and takes minutes for various Boards and committees of LSS
- Maintains calendar of meetings, schedules rooms, food orders, and assures meeting communications are sent/received in a timely manner
- Prepares and maintains employment records related to events such as hiring, termination, leaves, transfers, or promotions, using human resource management system software and paper filing systems
- Assists with the scheduling and tracking of various employee-related matters such as annual employment physicals, mandatory trainings, and licensure requirements
- Conducts or acquires background checks and employee eligibility verifications
- Assists with monthly employee engagement, appreciation, and retention efforts, as directed
- Assists with annual open enrollment for medical/dental/vision insurance, flexible spending accounts, health savings accounts, and other employee benefits
- Responsible for weekly A/P check processing, including accurate and timely entry of invoices into the A/P System, and the printing and mailing of checks
- Establish business records for all new vendors by completing vendor W-9 taxpayer identification forms and providing all necessary information
- Demonstrates discretion and confidentiality with all materials and information
- Places orders for office supplies, as requested
- Performs other related duties, as assigned

- Proficient with or the ability to quickly learn the organization's HRIS and talent management system
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds at a time
- Must be able to access and navigate each department at the organization's facilities
