Position Overview:

The Assistant to the CEO plays a crucial role in supporting the Chief Executive Officer by managing day-to-day operations, streamlining communication, and ensuring the smooth execution of strategic initiatives. This individual will act as a trusted partner, providing administrative and operational support while maintaining confidentiality and professionalism.

Key Responsibilities:

  1. Executive Support:
    • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and organize materials for meetings, presentations, and reports.
    • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  2. Communication Management:
    • Draft, review, and distribute correspondence on behalf of the CEO.
    • Facilitate effective communication within the executive team and across departments.
    • Handle confidential information with discretion and professionalism.
  3. Hospitality Operations Assistance:
    • Coordinate with department heads to ensure timely updates on operational initiatives.
    • Monitor key performance indicators (KPIs) and provide updates to the CEO.
    • Assist in organizing hospitality-related events, conferences, and special projects.
  4. Project Management:
    • Assist in planning and executing strategic projects and initiatives.
    • Track deadlines and ensure deliverables are met across departments.
    • Conduct research and analysis to support decision-making.
  5. Administrative Tasks:
    • Maintain accurate records, including expense reports, contracts, and meeting minutes.
    • Organize and oversee filing systems for digital and physical documents.
    • Handle additional administrative duties as required.

Qualifications and Skills:

  • 3+ years of experience in an executive support role, preferably in the hospitality industry.
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, project management tools, and CRM systems.
  • High level of discretion, professionalism, and confidentiality.
  • Ability to thrive in a fast-paced, dynamic environment.
  • Knowledge of hospitality operations and industry trends is a plus.
