Full-time Start Date: Immediate opening About KIPP Miami KIPP Miami is part of the KIPP (Knowledge is Power Program) national nonprofit network of college-preparatory, public charter schools educating elementary, middle and high school students. KIPP has a 25-year track record of preparing students for success in college and life. Founded in 2018, KIPP Miami currently operates two nonprofit charter schools in Greater Miami’s Urban Core communities with opportunities to grow and expand. Currently, KIPP Miami educates students in grades K-4 at KIPP Royalty Academy and 5-8 at KIPP Courage Academy co-located at the KIPP Miami North Campus Building. We are on track to build a high school and are looking to add awesome teammates as we grow. Position Overview The Director of School Operations is the school's leader of operations. The DSO manages and is responsible for all non-instructional systems and staff allocated to the school and is required to be on-site daily. Responsibilities People Management
Manage the school operations staff and all other school support team members on the operations team. Implement and execute a performance management system for direct reports. Conduct weekly individual meetings and team meetings.
Finance and Purchasing
Develop and manage the school’s budget. Conduct monthly financial review meetings with each school leader highlighting budget to actual performance year to date and a forecast for the year. Make budget management recommendations to SL so that resources are allocated according to the school’s mission and vision. Manage all aspects of day-to-day financial operations in compliance with fiscal policies & procedures. Oversee purchasing for the school. Execute compensation changes and stipend assignments and requests. Audit monthly compensation reports. Ensure strong attendance processes and systems are in place and intervene as necessary to ensure that ADA goals are met. Ensure that 100% of absent students receive a call on a daily basis. Oversee the attendance intervention and truancy process to make sure that attendance concerns are addressed early and often. Help coordinate with the student support team and school leadership to address chronic absenteeism. Provide coaching, accountability, and feedback on weekly attendance meetings with leadership team members.
Academic Support Operations
Manage the operational logistics of all student test administration, in coordination with school leadership and/or teaching staff.
Student Recruitment / Enrollment
Ensure the school meets annual enrollment targets by backwards planning from target enrollment numbers and dates and maintaining enrollment targets over the course of the year. Plan events and outreach to families. Establish partnerships with local businesses and organizations. Ensure 100% enrollment on the first day of school and backfill to school’s enrollment targets over the course of the year. Ensure 100% completion of registration documents by the first day of school. Implement systems and training for school-based staff to support recruitment and enrollment efforts. Ensure that family engagement events are planned and effectively implemented including but not limited to spring events, summer events, Welcome Meetings, and Orientation/Back to School Nights. Ensure schools are in partnership with the region, coordinating/planning/executing open houses and school tours. Implement processes to prevent student attrition and manage accountability for family follow-ups to prevent a student from withdrawing. Manage and monitor key metrics like enrollment numbers, conversion, and persistence and problem-solve to adjust practices in response to data. In partnership with the region, advertise, support, and manage teammate to maintain social media content for the school.
Technology
Oversee day-to-day operations of school-based technology projects by ensuring that school leaders, students, and staff have access to the technology they need. Manage tier 1 response to technology ticketing system. Plan any technology-related enhancements or additional purchases for the subsequent school year.
Event Planning
Serve as the logistics and events planning expert at the school. Drive event management including but not limited to report card conference night, field trips, student celebrations, and family engagement events.
Community Partnership
Provide point of contact and support for wrap-around school services including but not limited to vision, health screenings, dental, and other community service providers. Provide point of contact and support for development and advocacy efforts. Provide point of contact and support for other community partnership work including but not limited to volunteer days, donations, etc. Manage day-to-day processes and execution of afterschool programs and clubs and provide feedback to program leaders. Pilot initiatives to track family engagement and participation as well as respond to family feedback.
Compliance
Ensure school-wide compliance with health and safety laws. Ensure onboarding requirements for new staff members are completed. Comply with any city and state education mandates. Comply with all federal and state workplace regulations.
School Operations
Ensure the day-to-day school operating systems run smoothly and efficiently including front office systems, transportation, routines, transitions, arrival and dismissal, and collaborate with school leadership to ensure that these systems meet the vision of excellence. Ensure that the school meets safety requirements. Ensure that every room has an exit plan and emergency binder with student class lists, the school has an exit route for drills, and the school has a reliable safety plan documented. Make staff aware of relevant emergency protocols and oversee that an appropriate number of staff members are trained in safety procedures (i.e. CPR) and that reports are filed for any accidents/incidents.
Must Haves: Proficient in Microsoft Office, specifically Excel. Database management and reporting. Strong written and oral communication skills. Strong interpersonal skills. Strong organization skills and meticulous attention to detail. Superb customer service skills and love and support for families and children. Demonstrated ability to work with a team on collaborative projects. Ability to remain calm and solutions-oriented in high-stress situations. Commitment to do whatever it takes to ensure our teachers and students have what they need to be successful. Ability to proactively problem solve; anticipate challenges before they occur. Ability to identify inefficiencies and generate creative solutions. Ability to develop and manage multiple projects simultaneously and comfortably with ambiguity. Ability to troubleshoot and manage high-stress situations with a calm and positive demeanor. Ability to work evenings and weekends. Nice-to-Haves: Previous experience directly managing others. Previous experience in a customer service-oriented role. Previous experience in an educational or non-profit setting.
