Position: Administrative Assistant
POSITION SUMMARY
South Florida Caterpillar Dealer seeking an Administrative Assistant. It is a critical position that will work with every level of employee to help support, build, and maintain Kelly Tractor’s world-class safety efforts within the organization. The focus of this position will be to work closely with the Safety and Environmental Manager to drive engagement with our employees by having a higher frequency of store visits, safety/environmental audits, ensuring employees are working safely, and assisting with safety training as needed. The position will assist with regulatory compliance to include OSHA, MSHA, DOT & EPA requirements.
RESPONSIBILITIES AND DUTIES
- Review daily safety activities through the company Safety Management System (SMS) to ensure they are entered correctly
- Assist in reviewing daily fleet safety scores through the company telematics system and advise on driver alerts
- Coordinate annual testing for respiratory fit test and CPR/AED training for all branches
- Review AEDs monthly to ensure they are being inspected at all branches
- Will help maintain the employee database on Vector EHS, the company Safety Management System (SMS)
- Assist in maintaining the Job Safety Analysis (JSA) repository and documents on SMS
- Assist in monitoring hazardous waste manifests for locations and other documents related to hazardous waste generation and disposal
- Assist in maintaining electronic copies of Safety Data Sheets (SDS) and advise on changes to the Safety and Environmental Manager
- Will function as an administrator for Kelly Tractor’s Learning Management System (LMS) Convergence
- Assist the training department with new employee onboarding and other safety related topics
- Create and assign classes within the LMS and maintain all documentation up to date
- Provide monthly progress reports to department heads on required training status
- Assist in calculating monthly safety metrics for reporting
- Will maintain Avetta profile to ensure the company maintains its safety and insurance compliance with customers
- Position will require filing, organizing records both physical and electronic, maintaining the office supplies, and collecting mail
- Will need to review and process invoices, expense reports, and annual subscriptions and memberships
QUALIFICATION AND SKILLS
- Associates Degree in Business Administration or a High School Diploma with a minimum of 3 years of experience in a high-paced business environment
- Bilingual in English and Spanish is a must, reading and writing
- A working understanding of OSHA (Occupational Safety and Health Administration) regulations and the Florida Department of Environmental Protection is a plus
- Must have excellent organizational, communication, and customer service skills
- Needs to be detail orientated
- Ability to effectively present information and respond to questions from groups of managers, supervisors, front-line employees
- Must be able to successfully interpret and follow oral and written instructions
- Self-motivated and able to work with little supervision
- Must be able to manage time in a fast-paced environment and meet deadlines
- The individual must be safety-orientated, have basic business etiquette skills, and maintain a professional appearance
