Job Description
The primary responsibility of this role is ensured smooth and efficient administrative and operational support for the Charleston Plant Management Office (Commerical and Technical Plant Managers). Responsibilities will be broad and changeable in nature ranging from effectively maintaining calendars, scheduling meetings, leading special projects and managing day-to-day activities at the Plant Management office. The position requires sound operations, business, and technical knowledge for establishing priority of duties, tasks, and objectives to ensure the highest level of performance for the executive.
Principle Responsibilities:
Provides sophisticated calendar management for the executive’s schedule, scheduling appointments, coordinating meeting and event logistics (e.g., virtual meetings, room reservations, AV needs, etc.) all while troubleshooting conflicts; making judgements and recommendations to ensure smooth day-to-day engagements.
Founder and leader of “assistants@BoschChP” network. Builds internal network to share information.
Must be adaptive and able to prioritize conflicting requirements in a proactive manner and within pressures of deadline commitments.
Provide and fill a "gatekeeper" role, providing a bridge for smooth communication between the Plant Management office and associates, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
Screens incoming correspondences. Responds independently when possible.
Prepares memorandums outlining and explaining administrative procedures, targets, and timetables, and develops follow up systems for completion.
Timely and accurately arranges programs, events, conferences and catering by issuing information or invitations, coordinating participants, and controls event budget.
Prepares communications and presentations up to final review of the executive with minimal supervision from conceptual direction.
Serve as a liaison with the public; internally and externally, as required.
Prepares agenda, notices, minutes, and resolutions for meetings (local, divisional, and corporate).
Receive Plant Management office visitors.
Acts as custodian of confidential plant and divisional documents and records for executives.
Consistently checks for problems within work area &works within the team to implement processimprovements.
Demonstrates an entrepreneurial mindset by seekingopportunities, innovation and new value creation
Effectively copes with change and ambiguity.
Takes and transcribes dictation, and composes and prepares correspondence, reports, and other complex documents utilizing state of the art technology and software.
Arranges all domestic and international travel by developing itineraries and agendas, books transportation; arranges hotel and meeting accommodations. Manages flight check-ins, delays and other travel considerations (travel requests).
Prepares expense reports, purchase requisitions, etc.
Qualifications
Bachelor’s degree preferred.
Minimum of three (3) years’ experience with similar responsibilities, preferably in a manufacturing organization.
Strong computer and typing skills required; specifically, experience with Microsoft Office, including Excel, Word, Outlook and PowerPoint.
Must be an open and honest communicator across all levels of the organization.
Collaborative working skills and positive attitude.
Ability to complete a high volume of tasks and projects with little or no guidance.
Able to maintain a high level of integrity and discretion in handling confidential information.
Fluent in German is considered a plus
Must have excellent organizational skills and the ability to handle multiple tasks efficiently.
Must be a self-starter with strong initiative and the ability to work independently.
Must be patient, energetic, creative and flexible as work demands including switching projects or tasks at a moment’s notice.
Ability to stay calm and professional under pressure.
Ability to work a flexible work schedule.
Ability to communicate well both verbally and in writing to all levels in the organization.
