Job Description
This role will involve heavy document management. When a truck arrives at the facility, it will have a folder full of documents. Some documents could be 100 pages long, while others could be thousands of pages. You will need to scan the bar code of the document, verify addresses, input the correct handling codes, and then print, sign, and date the documents before scanning them into the internal system. This process needs to be completed for every document. You may also have to mail out copies of some documents to customers/clients. All of this must be done before the trucks can be unloaded.
Responsibilities
Sign manifests/bills of lading (BOLs) as the end facility.
Manage the life cycle of signed manifests/BOLs, including Land Disposal Restrictions (LDRs) associated paperwork, IDP scanning, mailing to customers, and filing hard copies into banker boxes for storage.
Manage paperwork storage and send documents for shredding after three years of storage from the date of receipt by the facility.
Manage and track supplies related to office, breakroom, and PPE.
Perform office administrative tasks such as maintaining electronic and paper files, rosters, contact lists, and accurately updating files, reports, spreadsheets, and documentation.
Sort and distribute mail.
Answer the door at both the front and employee entrances.
Generate purchase orders (POs) as requested by management and as necessary for supplies.
Track invoices for all POs generated and enter PO updates as needed.
Escort contractors to areas they need access to.
Perform other reasonably related tasks as assigned by management.
Essential Skills
2+ years of administrative experience involving handling and maintaining a large volume of documents.
Strong computer skills in Microsoft Word, Excel, and Outlook.
Ability to send mail (stamp, return address, etc.).
Additional Skills & Qualifications
Knowledge of RCRA, DOT, and Hazmat regulations is nice to have.
Work Environment
This is an onsite position with working hours from Monday to Friday, 7:00 AM to 3:30 PM. The day starts with a morning safety meeting and safety stretches. The schedule includes a paid break from 9:00 AM to 9:15 AM, an unpaid lunch from 11:15 AM to 11:45 AM, and a paid break from 1:45 PM to 2:00 PM. Some overtime may be required initially to get caught up. The company follows a points system for attendance, where being late past the start time is considered half a point. Within the first 90 days, you are allowed 3 points, and after 90 days, you are allowed 8 points. A no-call no-show (NCNS) is 1 point.
