The Administrative Assistant will report directly to Sierra Circuits’ HR Director to support the Founder & President, Co-Owner & VP of Operations to assist with daily administrative tasks. You will provide general administrative support, assist in managing schedules, coordinate meetings, filing, events, and planning, and help facilitate communications as needed. The ideal candidate will be organized, proactive, and capable of juggling multiple priorities with high professionalism and confidentiality.

KEY RESPONSIBILITIES:

  • Provide the founder, president, co-owner, and vice president of operations with business email and calendar, business-related travel arrangements, and meeting support with internal and external customers, including responding to emails and phone calls and assisting with drafting documents.
  • Assists in organizing and coordinating confidentiality documents filing, including personal financial statements and personal tax information
  • Assist with ordering and maintaining supplies, water, and office items, including support coordinating technical support.
  • Maintains and schedules company calendar activities and events for each business unit/department for audits, renewals, events, customer visits, etc.
  • Provide events management for Year End Celebrations and major company events throughout the year, including holiday celebrations and service recognition awards
  • Assist as requested in managing Levi’s Stadium Account and Events, including coordination of tickets/attendance, food & beverage, and event staffing
  • Identifies opportunities for improvement in business administration processes such as corporate events management, front office procedures, business travel & accommodations, and on-site customer meeting support for top-tier customers
  • Upholds the company values by providing the highest levels of customer service for both internal and external customers and helps to actively align our leadership team with the company mission, vision, and values
  • Drive company vehicles to assist with deliveries or pick-ups for the Founder, President, Co-Owner, VP of Operations
  • Perform additional duties and tasks required by the HR Director, President, and VP of Operations.

QUALIFICATIONS - KNOWLEDGE/SKILLS- EXPERIENCE:

  • A high school diploma or any combination of education and experience is preferred to meet the job requirements.
  • Minimum of 3 years in business office administration or assistant directly supporting the C-Suite.
  • Advanced working knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to travel up to 25% of the time.
  • Must have a clean DMV record.
  • Must be flexible to work non-standard hours based on company needs.
  • Ability to perform at the highest level in a fast-paced environment.
  • Ability to abide by Company Employment and Safety policies.
  • Excellent oral and written communication skills.
  • Exceptional multi-tasking, organizational skills, strong attention to detail and accuracy.
  • Strong interpersonal skills and ability to work with all levels of management in a teamwork environment.
  • Self-motivator and a sense of ownership and urgency.
  • Must be able to maintain confidentiality & professionalism at all times.
  • Proficient in Microsoft Office using Excel, PowerPoint, and Word required.

PHYSICAL DEMANDS: The physical demands described here represent those that an employee must meet to perform the essential functions of this job successfully. While performing the duties of this job, the employee is regularly required to talk or hear. The employee must frequently stand, walk, and reach with hands and arms. The ability to lift 20 lbs., open filing cabinets, and bend, stand, or climb on step ladders as necessary.

ENVIRONMENT: Office and Manufacturing

California Salary Range: $23.00 per hour - $28.00 per hour and Benefits Perks.




Day shift - The schedule may vary from 9 – 6 or 9:30 - 6:30, including a 30-minute lunch. Depending on the event, it may require overtime.
