From your PASSION to ours
The position entails executing advanced administrative tasks to support the Vice President of Information Technology and his four direct reports. This role requires close collaboration with the Vice President to facilitate his daily responsibilities. The duties include but are not limited to managing appointment calendars, coordinating travel bookings and confirmations, and preparing expense reports.
From your EXPERTISE to ours
Key responsibilities for this position include:
- Act as the liaison between the VP IT and Lactalis staff by managing meeting requests, answering questions tactfully and directing inquiries for resolution.
- Maintain and proactively coordinate calendar, travel & meeting schedules for the VP IT and 4 directs.
- Coordinate with Lactalis IT staff and facilitate teamwork within and outside the department.
- Assist in developing presentations and white papers/IT policies for internal and external audiences.
- Determine priority of matters of attention for the VP IT; redirect matters to staff to handle or handle matters personally, as appropriate.
- Keep the VP IT advised of time-sensitive and priority issues/tasks, ensuring appropriate follow-up.
- Assist with scheduling departmental meetings/events and preparing and distributing meeting agendas and materials.
- Prepare, reconcile, and submit expense reports.
- Support social media updates, LinkedIn, Viva Engage, internal IT portal
- Maintain confidential and sensitive information.
- Attending meetings and take discussion notes; prepare the initial draft of minutes and summaries.
- Complete various special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Complete and follow up on tasks delegated by the VP IT & 4 directs.
- Other additional and alternative duties as assigned occasionally, including supporting other departments or IT Leadership as needed.
- Travel and extended or off-work hours may be required.

$60,406 - $70,000
