Summary
The Maintenance Supervisor is responsible for the successful day-to-day maintenance management of the apartment community providing the necessary leadership, guidance and motivation to ensure a positive working environment and quality community living. The Maintenance Supervisor will strive to achieve the goals of Camber Corporation and to maximize the return on the owner’s investment through vendor price negotiation and having work completed by the on-site staff where possible.
The Maintenance Supervisor, as with all members of the company is expected to conduct himself/herself in a manner, which demonstrates initiative, professionalism, personal awareness, integrity, and exercises confidentiality in the appropriate areas of his/her performance. The Maintenance Supervisor consistently performs all functions in a fashion that inspires and motivates others to actively pursue them.
Duties
Follows all safety procedures and regulations
Through regular property walk inspections and follow-up, oversee the physical condition and appearance of the property and strive to enhance the value of the apartment community by maintaining a hazard-free environment, while considering the best interests of the community. Conduct monthly exterior property inspections.
Participate in the annual budget preparation process. Along with the Community Manager, develop and administer the capital and operating budgets for the property.
Supervise the daily opening duties of the Housekeeping staff in regards to the leasing office and inspection of models, market window, and “rent ready” vacants to ensure they are presentable in accordance to established standards.
Conduct a final walk thru at the time of a resident move-out and provide the final walk thru inspection with the appropriate charges to the resident to the Community Manager or Account Administrator within 5 days so the paperwork can be processed within the time frame designated by Florida Code. Consistently audit vendor bills for services in order to be fair and consistent to resident while achieving maximum performance and value from vendor. Approve, sign and submit invoices to A/P on a weekly basis.
Ensure insurance and contract requirements are met on vendors in accordance with company policy.
Participate in staff selection process. Recruit, hire, and train all maintenance, housekeeping and landscape staff under the approval and direction of the Regional Manager.
Supervise and provide support and direction to the staff. Resolve associate related issues and support team building with positive and open communication.
Support and motivate staff to participate in company sponsored classes and provided training. Ensure compliance with all mandatory training.
Performs specific carpentry, plumbing, painting, electrical, appliance repair, HVAC, masonry and other general maintenance duties in accordance with Company standards and local city, state and federal building codes when applicable. May repair/maintain various property emergency and security systems.
Performs maintenance service requests (work orders) for the apartment community and completes related paper work in a competent, professional and courteous manner.
Performs and over see’s scheduled maintenance turnover work, noting safety equipment used and regulation followed on vacant apartments utilizing the move-in/move-out checklist, detailed unit status report, and company policies and procedures.
Performs scheduled preventative maintenance in accordance with the community’s preventative maintenance program.
Conducts Safety Meetings monthly for all on-site staff.
Orders and organizes all parts and materials required for maintenance service requests and plans maintenance work in advance to ensure efficient completion of all maintenance work.
Maintains inventory by properly monitoring and recording inventory items.
Ensures that all storage facilities, equipment, housekeeping, landscape and maintenance workshops are kept in a neat and orderly working condition.
Regularly provides information to the Property Management Staff regarding safety concerns and the general appearance of the community to ensure, high quality, safe living environment for the residents and marketability of the community.
Provides and maintains his/ her own hand tools customarily used in the industry and building trades.
Retrieves and dispenses of any visible trash or garbage on the property in route to work assignments.
Perform other duties as assigned. Actual job duties and responsibilities may vary depending on the size of the community.
Knowledge and Experience
Possess management skills including supervisory, planning, organizing, and coordinating tasks.
Negotiate and resolve conflicts.
Prior experience in managing a staff (supervise, train, coach, counsel, develop, motivate, interview, hire, terminate) and lead by example.
Knowledge of First Aid and Safety procedures.
Must have basic computer skills and be able to create and close out work orders and create and respond to emails.
Previous building/apartment related Maintenance Supervisory experience. Specialized courses in HVAC, plumbing, electrical, appliance repair, and carpentry preferred.
High School Diploma or equivalent.
Skills and Abilities
Effective oral and written communication skills; ability to give clear direction and respond to inquiries. Must be able to speak effectively before groups of customers or associates of the organization.
Understand accounting principles and budget process. Ability to read and interpret numerical information.
Proficient with Microsoft Office products (Word/Excel/Outlook) and Yardi preferred.
Perform maintenance related tasks including painting, carpentry, electrical, appliance repair, HVAC, plumbing, and pool maintenance.
Provide exceptional customer service.
Manage projects through planning, organizing, and coordinating tasks.
Operate hand tools.
Work Environment
The Maintenance Supervisor works on-site at an apartment community and interfaces with external/internal customers, residents, and vendors on a regular basis. The position work schedule varies depending on the property. Hours are usually scheduled from 8 a.m. – 5 p.m. and might be scheduled to work weekend days (Sat/Sun) if necessary. Must be available to work over-time as needed and work on-call schedule. The Maintenance Supervisor should be flexible with availability depending on the needs of the property.
Physical Requirements
The Maintenance Supervisor physical condition must be sufficient for the consistent and successful completion of the specific responsibilities defined for this position and for his/her performance to be in complete conformance with all professional standards defined for this position. While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, crouch, or crawl, talk, and hear. May be required to lift and/or move up to 50 pounds and operate power tools. Must be able to occasionally drive during the course of work.
