Department Marketing Statement:

Transportation & Parking Services (TPS) is part of Housing, Dining, and Auxiliary Enterprises (HDAE). TPS is an innovative and self-sustaining department that supports the UCSB mission by providing safe and reliable parking, fleet services and transportation alternatives to our campus community. TPS manages over 9,500 parking spaces and over 400 vehicles. TPS coordinates inbound and outbound traffic planning for all major campus events.

Brief Summary of Job Duties:

Under the general supervision of the Parking Events Supervisor, the Parking Events Coordinator organizes staffing and parking plans for a wide ranging variety of campus events to include evenings and weekends. Responsible for scheduling and assigning student staff assignments for campus events. Utilizes the event work order system to create quotes and invoices for campus departments ensuring the appropriate assignment of staff and parking resources. Explains campus parking regulations to staff, students, faculty, and visitors. Schedules students for the Visitor Information Kiosk. Sells Reserved Parking spaces via T2 Flex to departments requesting parking for dignitaries and special guests. Assists and informs guests on location and availability of parking in relation to event locations and venues.


Qualifications:


Required Qualifications:

  • High school diploma or equivalent experience
  • 1-3 years Customer service experience.
  • Demonstrated exceptional customer service by providing and delivering professional, helpful, high quality service and assistance.
  • Ability to grasp new concepts.
  • Ability to maintain professionalism and composure under high customer demand and challenging customer interactions.
  • Excellent written and verbal communication.
  • Excellent interpersonal skills, including the ability to collaborate with students, staff, faculty and the general public.
  • Ability to work as part of a team, maintain a positive attitude and work together to achieve a common goal of providing world class customer service.

    Preferred Qualifications:
  • 1-3 years Working in higher ed environment and/or working with students.

    Special Conditions of Employment:
  • This is a 100% time position working Tuesday - Saturday.
  • May be required to work overtime and/or alter work schedule to meet the needs of the department for high profile events on campus.
  • Ability to work outside year round in inclement weather, using established foul weather gear provided by the department.
  • Ability to walk over hilly terrain, around parked cars in both covered and uncovered parking facilities.
  • Ability to assist during emergency or on call situations setting up barricades, installing street and traffic control signs, and/or other physical activities which may be required on the work site.
  • Maintain a valid CA driver's license, a clean DMV record and enrollment in the DMV Employer Pull-Notice Program
  • Satisfactory criminal history background check

Job Functions and Percentages of Time:

  • 40% Parking Event Coordination - Consults with a diverse clientele to analyze their event program requirements and available resources to determine if the client's needs can be met by Transportation & Parking Services. Plans and coordinates UCSB campus events related to parking, wayfinding, lot management and traffic control. Creates parking event quotes for a variety of campus events such as basketball, volleyball, baseball, and soccer seasons, as well as Arts and Lectures concerts and films, summer conferences, and student/family orientation sessions. Ensures that enough time is provided for proper setup and breakdown of equipment between events. Assists the Parking Events Supervisor in event set-ups for larger campus events such as Deltopia, Move-In, Move-Out. Open House, and Commencement. Assists and informs guests on location and availability of parking in relation to event location and venue. Consults with campus departments and other off campus organizations in order to provide services required. Provides financial back-up / Invoices for services provided. Sells reserved space permits via recharge, through an on-line customer portal. Coordinates with departments paying for guest parking via coupon codes, etc. Verifies that reserved parking spaces have been allocated, marked off, and appropriate signage placed as requested by departments.
  • 40% Equipment & Traffic Management - Assists in executing previously approved event requests and determines the scope and complexity of labor and material needed for each day, evening and weekend events. Performs traffic control & lot management safety related functions. Responsible for creating signs, and deploying traffic equipment such as digital signs, light towers, cones and traffic signs. Conducts traffic control in intersections during major campus events. Responsible for assisting in traffic control training for student employees as required for special events and lot management. Works with the Parking Events Supervisor to ensure that various evening/weekend special parking and traffic management arrangements do not conflict with permit holder use or with other conference or Guest Services event parking arrangements. Responsible for scheduling equipment inventories and recommends equipment replacement to the Parking Events Supervisor. Retains inventory of the supplies needed for events and orders replacement equipment via the UCSB Procurement Gateway. Schedules routine maintenance and cleaning of traffic equipment utilizing student staffing.
  • 10% Student Staff Supervision & Scheduling - Interviews, hires and trains student traffic assistants. Meets with students regularly to assign duties based upon school schedules and availability. Establishes priorities and monitors student workload for evening and events work. Provides leadership, mentoring and guidance to student staff. Recommends and/or takes appropriate disciplinary action whenever necessary. Verifies student attendance at the Visitor Kiosk shifts, ensuring coverage is always maintained. Reviews and verifies student time cards in Kronos. Assists the Parking Event Supervisor in scheduling and coordinating student and career staff assignments (i.e. location and set up) for campus events when needed. Coordinates and assures appropriate issuance/return of uniforms and equipment for assigned student personnel. Monitors event activities and assists students in directing guests to appropriate parking locations. Oversees/coordinates/collaborates with all concerned parties to ensure smooth traffic management on event days.
  • 10% Unit Administration & Outreach - Prepares event work order quotes for department and non-UCSB parking events. Conducts a monthly billing process to ensure departments get charged for services requested. This involves verifying services/products requested as well as time frames in order to provide customers with accurate final costs via an invoice. Finalizes the events they have coordinated in order for the Assistant Director, Events & Parking Enforcement to be able to reconcile those charges with the financial unit. Refines student manuals related to equipment set-ups, kiosk training, and equipment maintenance. Refers or provides information via phone, e-mail, and in person regarding all available services provided by our department, including but not limited to: permit eligibility and sales, Parking enforcement, the Transportation Alternatives Programs (TAP), and special events parking. Coordinates and communicates information to enhance customer awareness on parking availability and allocations for campus events.
