Job Summary:

The Administrative Specialist in the College of Science & Technology Dean's office provides administrative support for the day-to-day operations in the Dean's office and department research groups in the college. Under general supervision, completes administrative tasks, such as management of faculty calendars and contacts, screens incoming calls/correspondence and responds independently when possible. Prepares records, agendas, notices, minutes, and resolutions for meetings; composes and prepares confidential correspondence, reports, and other complex documents (i.e., grant proposal forms, RA appointment forms, Visa applications, etc.). Arranges detailed travel plans and itineraries. Compiles documents for travel-related meetings. Prepares and reviews forms and specialized reports. Purchases supplies and equipment. Keeps detailed records of all budget transactions. Processes all reimbursements for faculty and staff. Performs other related duties as assigned.

Required Education & Experience:

At least two years of administrative experience in an academic environment. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:

  • Proficiency with Microsoft Office Suite; particularly Excel.
  • Demonstrated experience creating and maintaining database and spreadsheet files.
  • Ability to manage and prioritize several complex tasks simultaneously.
  • Ability to learn new tasks and work with minimal supervision.
  • Strong interpersonal skills and attention to detail.
  • Ability to operate standard office equipment.
  • Excellent written and verbal communication skills.
  • Excellent customer service skills, along with the ability to effectively interact with a diverse population of students, faculty and staff.

Preferred:
Experience in an academic research environment.
