Job Summary/General Purpose of Job
- Performs complex administrative activities in support of an Associate Executive Director or higher position.
Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)
- Performs diverse, complex, and highly confidential administrative and secretarial duties in support of a senior executive staff member.
- Utilizes an advanced understanding of the Association's policy, procedures, and practices to optimize day-to-day operations and to mitigate any administrative disruptions or interruptions of the assigned senior leader.
- Independently responds to inquiries from members, senior leaders, and department heads based upon an understanding of operations, referring only the most complex matters to the senior staff member being supported.
- Creates and/or modifies processes that reduce waste, optimize deliverables within the department budget, and/or improve services to our members and our co-workers.
- Maintains the utmost confidentiality of the information of which they use and/or become aware of through the normal course of business.
- Prepares agendas and records minutes of meetings.
- Independently prepares special reports and analyses and provide findings and recommendations to the supervisor.
- Independently screens calls and visitors, drafts correspondence, schedules meetings, makes travel arrangements, and monitors progress against goals of the directs to the senior staff executive.
- May provide work direction to other administrative staff to ensure project completion and to ensure work balancing across the division.
- May provide assistance to the senior executive at ABA meetings, external meetings, and symposia.
- Performs other related duties as required.
Required Education, Qualifications, Experience
- Possession of a high school diploma/GED.
- At least five years' experience providing administrative and secretarial support to a senior leader in a business.
- Previous experience working with highly confidential information and maintaining the confidence of such information.
- Advanced level skill in Microsoft Word (for example: adding developer tab, creating a macro, formatting table style, inserting comments and/or creating a mail templates)
- Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
- Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
Preferred Education, Qualifications, Experience
- Possession of a bachelor's degree or higher.
- Previous budget management experience.

- Typical office and remote work environment.
Extent of Travel Required in the Job
- As a normal course of business, this job will typically require travel of up to 10% of the time.
