Summary Operating Title Senior Administrative Assistant Long Classification Title Senior Administrative Assistant Campus Location Durham Department UNH Vice Provost for Student Life Summary of Position Reporting to the Student Life Administrative Coordinator, the Senior Administrative Assistant provides administrative support to Student Life, focusing on the Dean of Students areas. As appropriate, serve as a front-line contact for Student Life concerns and direct inquiries from faculty, staff, students, and families. Provide students with general information regarding an array of institutional policies and procedures. Triage questions and concerns come to Student Life and the Dean of Students in person, via phone or email. Manage multiple administrative processes within the Dean of Students area including academic support letters, health leaves, Student Awards, Orientation, Parent Council, and Student Senate. This is an on-campus, in-person position.   • At least two years of experience in administrative, clerical, higher education or similar setting; or associate degree and one year of experience.
  • Strong interpersonal skills including the ability to interface with students and families.
  • Strong administrative abilities including familiarity with information systems and office management software. Interest and ability to learn new software as needed. Attention to detail.
  • Ability to establish and maintain effective working relationships with faculty, staff, students as well as the general public.
  • Ability to work with sensitive information
  • Strong written and verbal communication skills
Additional Preferred Qualifications
  • Experience working with college students or working in a college or university setting.
  • Experience planning and implementing events, programs or similar initiatives.

Duties / Responsibilities
Job Duties Duty/Responsibility Community Resource.
  • Serve as front-line staff in the Dean of Student Office for questions and
  • concerns.
  • Utilize institutional knowledge to appropriately direct and refer students and their families who contact the Dean of Students.
  • Use customer service skills to calm and reassure frustrated constituents and deescalate potentially challenging situations.
  • Exercise discretion, sound judgement and empathy when interacting with faculty, staff, parents, and students on sensitive issues ranging in nature from the death of a student, death or illness of a family member or friend; students in crisis; medical issues, or financial issues.
Duty/Responsibility Administrative and Event Management.
  • Provide administrative leadership for several complex processes within the Dean of Students area.
  • This includes (1) Facilitating the distribution of academic intervention letters to faculty, (2) collecting and managing documentation related to student requests for Health Leaves, and (3) supporting key events including the UNH Student Awards.
Duty/Responsibility Administrative Support.
  • Provide administrative support for day-to-day processes in Student Life including calendar management, scheduling, reviewing copy, attending meetings and recording the proceedings, supporting professional staff hiring processes, managing paperwork, updating the website, assisting with purchasing and budgeting, managing office supplies, and organizing digital documentation.
Duty/Responsibility New Student and Family Programs.
  • Provide more dedicated support to New Student and Family Programs initiatives such as June Orientation, Wildcat Days, Family Weekend, and Parent's Council during peak times of the year.
Duty/Responsibility Committee Work and Other.
  • Serve as a member of UNH committees on behalf of Student Life and the Dean of Students as requested.
  • Other duties as assigned.
