The Johns Hopkins University Comstock Center in Hagerstown, Maryland is seeking an Administrative Coordinator who will provide administrative support to the George W. Comstock Center. This person must maintain professionalism and confidentiality, be personable to incoming study participants and visitors, and exercise judgment to resolve issues. This position is fully onsite Monday – Friday, 8:00 am – 4:30 pm.

The Administrative Coordinato r for the GW Comstock Center will assist both the administrative and data areas of the Center with general clerical duties such as data entry, filing, greeting participants/visitors, answering telephones, mail and package distribution, requesting, organizing and filing medical records, and other tasks as needed. This person will also assist in the clinic, collecting data from research participants via interviews, blood pressures, installing glucose monitors and other devices, and other clinic procedures as needed.

Specific Duties & Responsibilities

Answer a multi-line telephone system during Center business hours, routing calls appropriately and taking/distributing messages.

Greet research participants and visitors, identify them, and notify the appropriate department.

Escort participants/visitors into the Center lobby/areas and provide hospitality such as coffee and water.

Enter study data and other information into a computer or laptop using Excel, Access, and other database platforms.

Prepare and mail letters, packets, and record requests as needed.

Prepare research participant charts and forms prior to visits; disassemble and file completed charts.

Open and sort mail and packages.

Prepare and send documents and packages for delivery services.

Assist with submission of invoices.

Photocopy and file documents and charts.

Schedule/reschedule participant appointments.

Order and check-in supplies or other items as necessary.

Maintain the order and stocking of the lobby and other common Center areas as needed including restocking pamphlets and flyers, organizing reading materials and bulletin boards, checking rest rooms and snack areas for paper supplies, etc.

Assist with planning participant and staff social events.

Assist the Operations Director with schedule, facility issues, and other matters.

Minimum Qualifications

High School Diploma or graduation equivalent.

Three years related experience.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

Three years progressively responsible administrative experience preferably in an academic or medical setting.

Strong customer service orientation.

Knowledge of JHU policies and procedures, research study activities, and administrative systems strongly preferred.

Physical Requirements

Lifting and/or carrying objects weighing up to 20 pounds.

Walking and/or standing for the purpose of escorting research participants within the Comstock Center building and clinic.

Exhibit effective communication.

Possess organizational and time management skills.

Hand/wrist ability to perform keyboarding and mouse movements on a personal computer, laptop or other device.

Starting Salary Range: $18.20 - $33.90 HRLY ($65,000 targeted; Commensurate with experience)

Employee group: Full Time

Schedule: Monday to Friday: usually 8:00 am – 4:00 pm, however hours may vary depending upon participant schedules
