Robert Half is seeking an Administrative Assistant for one of our clients based in Indianapolis, Indiana. As an Administrative Assistant, your role will involve a high volume of data entry and frequent interfacing with peers, managers, and occasionally customers. You will be tasked with ensuring all operations are compliant with applicable Federal, State, and Local Department of Transportation regulations, as well as company policies, practices and procedures. This role offers a contract to permanent employment opportunity.


Responsibilities:

• Manage and track office, breakroom, and PPE supplies.

• Oversee the lifecycle of signed manifests/bills of lading, including associated paperwork, IDP Scanning, mailing to customers and State's Environmental Divisions, and filing of hard copies.

• Generate and track purchase orders as requested by management and as necessary for supplies.

• Maintain electronic and paper files, rosters, contact lists, and update files, reports, spreadsheets, and documentation accurately.

• Answer the door at both the front and employee entrances, ensuring visitors sign in and receive a visitor badge.

• Escort any contractor to areas they need access to.

• Manage paperwork storage and send documents for shredding after three years of storage from date of receipt by facility.

• Process customer credit applications accurately and efficiently.

• Maintain accurate customer credit records.

• Resolve customer inquiries and monitor customer accounts, taking appropriate action where necessary.

• Minimum of 2 years of experience in an administrative role
• Proven ability to answer inbound calls in a detail oriented manner
• Exceptional customer service skills
• Proficient in data entry tasks
• Experience with email correspondence in a detail oriented setting
• Ability to handle both inbound and outbound calls
• Proficiency in Microsoft Excel for data management and analysis
• Familiarity with Microsoft Outlook for email and calendar management
• Proficiency in Microsoft PowerPoint for creating presentations
• Experience in Microsoft Word for document creation and editing
• Proven ability to schedule appointments effectively and efficiently
