Posting Number NONAC3272 Job Title Executive Administrative Assistant Position Title Executive Administrative Assistant Position Type Non-Faculty Number of vacancies 1 Salary Department Office of External Affairs and Innovation (OEAI) Position Summary In support of Morehouse School of Medicine’s Vision; “Leading the creation and advancement of health equity,” the Office of the President and Dean is seeking an Administrative Assistant to join their team. The Executive Administrative Assistant will support the Chief Innovation Officer and the Senior Vice President for External Affairs and Innovation with preparation for the Board of Trustee meetings and presentations, logistics, and institutional projects as delineated. Minimum Qualifications Two-year degree in business administration, communications, or a related field. Seven years of office administration, senior secretarial or related experience is acceptable in lieu of a two-year degree. Two to four years prior experience providing administrative support at the Director or VP level. Ability to thrive in a fast-paced environment and operate with a high sense of urgency. Ability to observe strict confidentiality in all aspects of services provided. Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external clients. Intermediate or higher proficiency in MS Office – including Word, Excel, PowerPoint & Outlook. The ability to type or keyboard 60 accurate words per minute. Preferred Qualifications A bachelor’s degree in business administration, communications, or a related field. Three years or greater of experience providing administrative support at the executive (“C-suite”) level. Experience with meeting preparation and materials development including Board of Directors meetings. Project management skills. Ideal candidate will have worked in highered, academic health sciences, and/or academic medicine. Job Duties Description of Job Duty Manages the daily operations and functions of assigned areas Description of Job Duty Plans and organizes departmental meetings and training sessions Description of Job Duty May be responsible for maintaining department director’s and/or chair’s calendar Description of Job Duty Assists in development of administrative departmental operating policies Description of Job Duty May coordinate and plan special events and activities Description of Job Duty Serves as department liaison for customers and responds to inquiries and general information requests Description of Job Duty Prepares and composes special project reports, correspondence of a confidential and complex nature, letters, memorandum, and other documents Description of Job Duty Composes routine correspondence, types, formats and proofreads memos, letters, forms, manuscripts, and grant proposals Description of Job Duty Responsible for working with Faculty Affairs and Credentialing in the on-boarding process for new faculty.
