Administrative Assistant 2 Job Number: 24568 Functional Area: Administration Department: Registrar's Office School Area: Chancellor's Employment Type: Full-time (Hybrid) Employment Category: Non-Exempt Visa Sponsorship Available: No Schedule: Monday - Friday, 9am-5pm Email a Friend Save Save Apply Now Posting Description ADMINISTRATIVE ASSISTANT 2, Registrar's Office, to provide administrative and financial duties in support of the Curriculum and Faculty Support (CFS) team; support the administration of the MIT Subject Evaluation System, including set up and help desk support for users of the subject evaluation systems; provide administrative and logistical support for the Undergraduate Officers group, including coordinating meeting logistics, taking notes at meetings, and responding to inquiries; review, process, and track financial transactions (e.g., processing reimbursements, verifying/reconciling Pro-Card charges) and produce reports and projections for budget planning and review; assist the team with the technical, data entry, and administrative duties in support of the Institute-wide Online Subject Evaluation (OSE) and Who's Teaching What (WTW) systems; support the WTW process by providing guidance to, coordinating training for, and triaging questions from department users. Job Requirements REQUIRED: High school diploma or equivalent; a minimum of three years of office experience; high comfort level with software and the ability to learn new systems; proven interpersonal skills with the ability to communicate effectively and positively with a wide range of constituency groups including students, faculty, and staff; ability to interact effectively with people of diverse backgrounds; meticulous accuracy and the ability to deal with sensitive and confidential information, meet deadlines, and work collaboratively; comfort working independently in a hybrid office environment and communicating in person and electronically; excellent organization skills; and ability to work on concurrent projects with some interruptions, anticipate needs, and set priorities.
