Summary of the position:

The Executive Administrative Assistant provides high-level administrative support to Executive staff and helps with the coordination of large employee gatherings/visitors.

This is an on-site position in Michigan City, Indiana.

Duties and responsibilities: Executive administrative support for department-head level and above including:

Manage travel arrangements Process Expense Reports Manage calendars and schedule meetings Schedule off-site meetings and dinner arrangements Arrange catering for meetings as needed Manage the purchase and delivery of general supplies, furniture, and office equipment in accordance with company policies. Serve as the go-to person for all Executive needs and day-to-day operations participate as needed in special projects Assist with ordering merchandise and materials as needed

Process Purchase Orders for Departments as needed Work and support with other executive support staff Support Finance by entering New Vendors, New Freight Forwarders, banking Information, and Approval Route Codes in SAP Schedule Executive Staff Meetings and coordinate Staff Events Assist HR with planning, scheduling, and coordinating all employee gatherings (Town Hall schedules, company picnics, holiday luncheons, etc.) Assist HR Business Partner with scheduling of Hitachi Global Air Power Leadership/Development Meetings Assist HR Talent Acquisition Specialist with scheduling of interviews Provide back-up support for employee on-boarding and off-boarding (IT Service Now requests) Qualifications:

Education :

At least two years prior experience in Administrative Assistant Role Professional experience:

Excellent communication skills, both written and verbal. Excellent time management, planning and organizational skills in a fast-paced environment. Detail-oriented and professional. Working knowledge of mail processes, such as postage machine, Federal Express, UPS. Proficient use of Microsoft Office suite, office-related equipment, IT tools, Concur, and SAP (finance) and Workday. Ability to organize and prioritize tasks Key behaviors:
