We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. Theideal candidate will provide comprehensive administrative support to ensure the smooth functioning of our office and assist in qualifying leads for our consulting services. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. Key Responsibilities 1. Administrative Support Manage and organize office operations and procedures. Handle incoming calls, emails, and correspondence. Schedule and coordinate meetings, appointments, and travel arrangements. Prepare and distribute meeting agendas, minutes, and presentations. Maintain and update office records, databases, and filing systems. Order and manage office supplies and equipment. Lead Qualification Conduct initial screenings of incoming leads via phone, email, and online inquiries. Assess potential clients' needs and determine their fit with our consulting services. Gather and document detailed information on prospective clients. Coordinate with the sales team to prioritize and follow up on qualified leads. Maintain an updated database of leads and client interactions in the CRM system. Client Relations Serve as a point of contact for clients, providing excellent customer service. Assist in preparing client proposals, contracts, and reports. Schedule and confirm client meetings and consultations. Follow up with clients to ensure satisfaction and address any concerns. Project Support Assist consultants with project coordination and logistics. Prepare and format project documents, reports, and presentations. Track project timelines and deliverables to ensure deadlines are met. Assist in organizing workshops, training sessions, and events. General Office Management Ensure the office environment is clean, organized, and conducive to productivity. Manage relationships with vendors, service providers, and building management. Handle special projects and tasks as assigned by management.
