Summary

Oversee and coordinate clerical and secretarial functions to support the administrative operation of the Associate Superintendent's office. Assist by facilitating office work flow, assuring that delegated tasks are carried out, and completing special assignments. Tasks are diverse and occasionally complex in nature, requiring individual analysis and judgment. Serve as a resource for information for students, teachers, parents, staff, administrators, and/or the general public.

Essential Functions

  1. Perform complex secretarial administrative tasks in support of the assigned campus or department in an executive environment while maintaining a high level of confidentiality.
  2. Review, refer and answer routine correspondence, telephone and electronic messages: assist and act as a resource to the public.
  3. Research reports and requests for information: extract information, reconcile and verify data for committee meetings, hearings, school district publications and reports.
  4. Prepare complex reports, policies, procedures, and/or documents and distribute to appropriate personnel.
  5. Perform various administrative functions as assigned, such as organizing meetings, scheduling activities and building use, arranging travel itineraries, and coordinating the calendar for the campus or department, including the Associate Superintendent's calendar.
  6. Compose correspondence, memoranda, reports, and other written materials independently or on behalf of supervisor.
  7. In supervisor's absence, ensure that requests for action or information are relayed to the appropriate person. Review and distribute incoming correspondence. Receive request for information, assistance, etc. from YISD or outside sources and provide service or direct inquiry.
  8. Represent the Associate Superintendent at designated meetings.
  9. Attendance at the work site is required to meet essential functions of the job.
Other Responsibilities
  1. Follow established safety procedures and techniques to perform job duties and support the goals of the District/department and follow District policies and procedures.
  2. Participate in professional development activities as required by the District.
  3. Maintain a professional code of ethics and perform other duties as assigned.


Qualifications

High school diplomaor General Education Diploma(GED); seven (7) years of general clerical/secretarial experience; eighteen (18) semester hours from an accredited college/university may be subsittuted for each year of experience; ability to use a personal computerand knowledge of word processing/spreadsheet application; possess required skills and knowledge as assessed by the Ysleta ISO Paraprofessional Test.

Mental/Physical Requirements

Ability to work with frequent interruptions and maintain emotional control under stress. Requires repetitive hand/wrist motions and prolonged use of computer. Requires prolonged sitting, moderate standing, walking, bending, reaching, and may require lifting up to 25 lbs.
