Position Summary:

The University of Wisconsin-Platteville is accepting applicants for the position of Administrative Assistant II in the Student Access and Academic Success department. The Administrative Assistant provides support for Multicultural Student Affairs, International Programs, and the McNair Scholars Program. This position spends 50% of the day supporting Multicultural Student Affairs and 50% of the day supporting International Programs and the McNair Scholars Program.

Serving as the primary point of contact for the office, the Administrative Assistant provides exceptional customer service and makes appropriate referrals in response to inquiries. This role involves handling walk-ins, phone calls, and written requests from students, staff, parents, etc. Additionally, this position is responsible for managing departmental communications, including email correspondence, office newsletters, and maintaining the department's website.

This is a full-time benefit and leave eligible position with a wage of $18.00 per hour.

Responsibilities:

  • Send, receive, copy, and distribute communications to the appropriate entities according to established policies and procedures under general supervision.
  • Collect, analyze, and prepare various communication materials from established sources utilizing technology mediums.
  • Schedule appointments for staff and maintain staff office hours.
  • Maintain department spaces including computer labs, lounges, and the Multifaith Space.
  • Schedule logistics and secure resources for meetings, conferences, travel, and work unit operations.
  • Order supplies as necessary for the various departments.
  • Assist with departmental deposits and transfers, monitor accounts; establish and maintain departmental blanket order accounts; any other purchasing, budgeting and record keeping processes deemed necessary while observing UW policies and procedures for spending departmental monies and maintaining records.
  • Support staff with campus-wide events by creating brochures, notices, and other materials. Handle event logistics such as reservations, speaker arrangements, refreshments, and accommodations, as well as produce invitations, nametags, and certificates.
  • Work with student employees by assisting with completion of required documents , providing guidance on timekeeping processes, and assisting staff in understanding the compliance and regulations aspects of student employees.
  • Maintain established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures.
  • Create and maintain good working relationships with other UW-Platteville departments.

What You'll Need to Succeed:

  • High School Diploma/GED
  • Minimum of one year experience working as an office assistant.
  • Strong written and verbal communication skills, along with excellent customer service abilities.
  • Proficiency in Microsoft Office Suite and general technology skills.
  • Demonstrated experience and commitment to working with diverse populations.
  • Willingness and ability to quickly learn new policies and procedures.
  • Strong attention to detail.
  • Ability to handle multiple tasks, work independently, and collaborate effectively in a team environment.
  • Eagerness to learn and take on new challenges.
  • Physical requirements: ability to sit for extended periods, frequent computer use, and the ability to lift up to 25 pounds.
