We are currently seeking an Executive Assistant to support our Patuxent River, MD customer. The Executive Assistant will primarily support the PMA-280 Program Manager (PM) and the Deputy Program Manager (DPM) with meetings, administrative duties, briefings, and open projects. The Executive Assistant will regularly interact with senior leadership within the PEO, external stakeholders, and various PMAs. The Executive Assistant is a high visibility position within the program office that is fast-paced and demands a high degree of professionalism, polish, and the ability to be the face of the organization. The Executive Assistant will be a member of the Operations Team and will support the daily activities of the Program Office. Duties may include, but are not limited to:

Duties:

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications
  • Maintain and coordinate calendars and meetings for and on behalf of the PM and PDPM
  • High level of experience with scheduling and coordinating meetings
  • Ability to adapt and prioritize in a dynamic environment
  • Answer PM and PDPM phones in their absence or when either are unavailable
  • Defense Travel System
  • Coordinating travel for the PM and PDPM, as well as other PMA-280 team members (as a secondary resource)
  • Program Office Documentation
  • Expertise with Navy correspondence and Document support (routing, distribution, retrieval, research)
  • Research instructions, directives, lessons learned, etc.
  • Experience handling sensitive information Strategic Planning
  • Meeting Minutes/Action Items
  • Whiteboard sessions (strategies, plans)
  • Execute planning session ideas
  • Verify clearances and access within DISS and BASICS (Backup responsibility)
  • Coordinate visit certifications requests, with various agencies for PM and PDPM
  • High level of proficiency in Microsoft Programs to include Outlook and Word, and familiarity with EXCEL and PowerPoint.
  • Excellent written and verbal communications skills.
  • Strong organizational skills and ability to multi-task
  • Typical hours are 0800-1600, Monday – Friday (minor flexibility around those hours)

REQUIRED EDUCATION: BS or BA degree in a business or management discipline. Allowable substitution: an AS or AA degree and an additional four (4) years of experience; or an additional six (6) years of experience may be substituted for a BS or BA degree.

REQUIRED EXPERIENCE: At least four (4) years of experience in an administration discipline.

  • NAVAIR experience, a current Common Access Card, and Secret Clearance a plus

Must be able to obtain and maintain a Secret security clearance. Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.
