The Executive Assistant to the Vice President of Operations plays a crucial role in ensuring the seamless operation of the VP’s office and the larger operations team within a dynamic and rapidly growing fitness company. This individual will be the primary point of contact for internal and external stakeholders, providing high-level administrative support, managing projects, and facilitating cross-functional communication.
As an integral part of the Operations leadership team, the Executive Assistant must be detail-oriented, resourceful, and proactive, with the ability to manage multiple priorities in a fast-paced environment. A passion for fitness, wellness, and helping people achieve their goals is a bonus!

Key Responsibilities:
1. Executive Support:
Manage the VP of Operations' calendar, including scheduling and prioritizing meetings, appointments, and travel arrangements.
Prepare agendas, take minutes, and follow up on action items from meetings.
Serve as the point of contact for internal teams, senior leadership, and external partners, maintaining professional and efficient communication.
Coordinate special projects and initiatives as directed by the VP, ensuring timely and effective completion.
2. Operational Coordination:
Assist in the preparation and management of departmental reports, presentations, and communications.
Help track departmental goals, performance metrics, and deliverables to ensure alignment with company-wide objectives.
Liaise with various departments (HR, Finance, Marketing, etc.) to gather information, assist in problem-solving, and keep projects on track.
Support in managing vendor relationships and contracts related to operational needs.
3. Strategic Planning & Execution:
Assist in the preparation for senior leadership and board meetings, including research, presentations, and coordination of logistics.
Track the progress of strategic initiatives and projects within the operations department.
Identify process improvement opportunities and assist the VP with implementing solutions to increase efficiency across the organization.
4. Communication & Reporting:
Draft and review internal and external communications on behalf of the VP.
Maintain confidentiality and handle sensitive information with discretion.
Create and distribute weekly or monthly operational updates for internal teams, ensuring everyone is aligned with the department's goals.
5. Event Coordination & Travel:
Organize team events, meetings, and offsite functions, ensuring all logistics are handled, including location, accommodations, and materials.
Arrange domestic and international travel for the VP, ensuring efficiency and cost-effectiveness while maintaining a high standard of service.
