A premier commercial real estate brokerage firm based in Portland is looking to add a Licensed Executive Assistant to their collaborative team! This company has a proven track record of more than 7.5 million square feet leased or sold, they are dedicated to transforming the landscape of Portland’s commercial real estate market.
Overview
The Licensed Executive Assistant plays a pivotal role in supporting the executive team and ensuring the smooth operation of the business! Your responsibilities will include a blend of administrative tasks, client interactions, and real estate-specific duties, all aimed at enhancing the efficiency and effectiveness of our operations.
Responsibilities
- Prepare, edit, and proofread correspondence, reports, and presentations
- Assist Marketing with the creation and updating of marketing materials (brochures, flyers, offering memorandums, pitch books, tours, maps, property photos, etc.)
- Transaction management – Assist the broker in completing real estate transactions from initiation through invoicing
- Develop and maintain various internal tracking lists (as needed)
- Manage meeting schedules, calendar invitations, etc. Schedule Zoom or Teams calls
- Research properties from a variety of sources for inclusion in reports and presentations
- Quality control and document management, maintaining confidentiality with sensitive materials
- Database management – Update and maintain a database of clients, prospects, lease comps, etc.
Qualifications and Skills
- Proficient with Microsoft Excel, Word, Outlook, PowerPoint, OneDrive, Adobe Apps, and Dropbox
- Familiarity with CRM management
- Ability to handle sensitive material and maintain a high level of confidentiality
- Creative self-starter
- Works well under deadlines
- Exceptional communication skills, both written and verbal
Schedule: Monday - Friday (8:00AM - 5:00PM)
Compensation: $60,000 - $65,000 Annually + Benefits + Free Parking!
