Position Summary: The Estate & Inheritor Services Specialist plays a critical role within Client specialized team, providing dedicated assistance to clients navigating the inheritance process. This role involves managing the transition of client assets, serving as a Subject Matter Expert, and supporting Client Wealth Management clients, Financial Advisors, Client Service Associates, and Branch Management. The Specialist will ensure a seamless inheritance process by delivering high-quality service, empathy, and attention to detail. Key Responsibilities: Client Support: Provide one-on-one support to clients throughout the inheritance process, managing client relationships with empathy and professionalism. Proactively communicate with clients and beneficiaries via phone and email to ensure transparency and high service levels. Set clear expectations with clients and beneficiaries for each request, following up consistently to meet Service Level Agreements (SLAs). Case Management: Process and follow up on client service requests to ensure timely and accurate completion. Actively manage daily case loads by documenting and monitoring interactions using Client's internal applications and systems. Ensure proper verification protocols are followed to prevent identity theft and fraudulent activities. Problem Resolution: Research and resolve issues accurately and efficiently, escalating complex inquiries when necessary. Ensure compliance with SEC/FINRA, Client guidelines, and internal policies to mitigate risk. Documentation & System Usage: Utilize Client systems to document all interactions and maintain a complete case history. Keep up-to-date with system updates, compliance regulations, and firm guidelines for accuracy in processing. Additional Responsibilities: Client Service Excellence: Deliver exceptional customer service to both internal and external clients in all interactions. Leverage technology resources for efficient communication and documentation. Ongoing Learning: Stay current with regulations and firm policies. Perform ad hoc duties as assigned. Requirements: Education and Experience: College degree preferred. 3-4 years of experience in the financial services industry, ideally involving client service, estate, trust, retirement plan processes, or asset distribution. Skills and Knowledge: Strong administrative, clerical, and organizational skills. Effective written and verbal communication. Proficient with Microsoft Suite and familiarity with Client systems is a plus. Detail-oriented with strong follow-up abilities and the capacity to handle high-volume requests in a fast-paced environment. Ability to work independently and as part of a team. Certifications: Series 7 and 66 (or 63 & 65) certifications preferred. Education: High School
