Role Summary
The
Senior Manager, Meetings and Events
is a key member of the Servier U.S. Meeting & Events Planning team which is part of the Corporate Business Operations. The Senior Manager is responsible for the planning and logistical execution of internal enterprise meetings and events, tradeshows, congresses, and supporting the functional team lead. This position will report to the Associate Director, Marketing Operations. The Senior Manager will possess deep knowledge of all aspects of meetings, tradeshows and congresses planning to include, site selection, contract negotiation, budget management, exhibit management, food and beverage management, sponsorship management, offsite dinners and events, registration management, and VIP management. Primary Responsibilities:
Department lead for planning and logistical execution of for corporate internal meetings and events. Align on scope and objective of meetings by developing positive business relationships with key Corporate, Commercial, and Medical business partners to ensure all aspects of meeting management are achieved and on target. Department lead for administrative functions for meetings and congresses. Partner with Congress Planning Lead to manage, plan, execute and administer planning aspects of congresses. Manage all communication aspects of respective meetings or congresses to internal attendees and senior management, as appropriate. Collect, analyze, and distribute feedback from all attendees and provide a top line summary including recommendations for planning future events. Budget Management – Responsible for maintaining effective budget tracking and forecasting processes to ensure projects are within budget and of high quality. Vendor Management – Accountable for ensuring that vendors are onboarded in accordance with internal finance and procurement guidelines. Communication – strong written and verbal skills needed to communicate with leadership, executive admins, and cross-functional planning teams. VIP Management – be attentive to the needs of the leadership team when attending meetings and congresses and communicate with executive admins while respecting the need for confidentiality. Timelines – follow processes and procedures established for executing corporate and commercial internal meetings and congresses. Site Sourcing – with input from leadership, research hotels that fulfill the meeting’s program and objectives while adhering to company policy. Contract negotiation – strong negotiating skills when working with hotels and venues. F+B Management – understand how to develop a creative offering of healthy options for attendees. Housing Management – understand the housing needs of the US and/or Global teams to determine room requirements. Creativity – sourcing locations for offsite dinners, community service activities, teambuilding activities, swag, and gifts. Internal Approval Process – Stay up to date on internal approval flows and policies for executing contracts and procurement. Legal Process – develop a clear understanding of the steps required for contract review, negotiation, and approval to ensure legal, compliance, and organizational alignment. Education and Required Skills: 5+ years of experience in the pharmaceutical/biotech industry experience in meeting and convention planning. Experience should include acting as strategic partner with business partners to plan, manage, and execute large-scale meetings. Knowledge of the pharmaceutical / HCP compliance landscape will be essential for success including working knowledge of Pharma Guidelines and Sunshine Act. Solutions and detailed oriented Highly collaborative and understands what it takes to get the job done. Efficient time-management skills are essential and project management experience is a plus. Thorough knowledge of Microsoft Office Suite – Word, Excel, Outlook, PowerPoint, Teams, Forms, SharePoint. Experience with NetSuite and Veeva a plus. Travel and Location:
Boston-area onsite, 2-3 days into our Seaport office . Travel ~30% of the time for meetings/workshops, external conferences, and internal meetings/off-sites.
