Position Description

The Divisional Administrative Assistant performs and coordinates administrative work in support of the Dean of Military Academics, Technical Education, and Outreach Programs. In addition, the Assistant performs Faculty Load and Compensation (FLAC) and VA School Certifying Official duties in a back-up role to the primary point of contact.

Position Responsibilities

15% - Anticipate the Dean's administrative needs; relieve the Dean of administrative duties, coordinate work flow, manage projects and tasks to ensure progress to deadlines (may include those assigned to the Dean's direct reports); maintain procedures manual to ensure consistent performance of processes; maintain the Dean's calendar, schedule appointments to maximize Dean's effective us of time. Provide scheduling assistance to others within the division and across the campus when including the Dean on meetings.50% - Operations - generate, process, file requisitions; manage stocks and routinely order division's supplies from input of program directors; create/maintain historical supply order records; maintain/update mailing/phone/email/alert distribution lists/rosters; manage division's advisory board memberships lists from program director input; filing, faxing and photo copying; report generation including graphs and illustrations; internet research; preparation of budget reports; compose correspondence to include invoices and contracts; prepare meeting agendas in advance; arrange meeting facilities; arrange food service; act as recording secretary Dean chaired meetings; prepare minutes and process follow-up materials.20% - Division Travel - arrange/reserve travel accommodations; coordinate for college transportation; prepare itinerary, review travel reimbursement forms for accuracy/completeness; file and complete expense reports after trips; arranges installation access and travel accommodations for guests/visitors.5% - Assist office staff on first day of LSEC; assist with customer service support in main office when needed; maintain customer relations in all encounters with students. 5% - Performs Faculty Load and Compensation (FLAC) and VA School Certifying Official duties in a back-up role to the primary point of contact.5% - Performs other duties as needed or assigned.

Knowledge, Skills and Abilities

Experience - Two years to five years of similar or related experience.Education - 1) A two year college degree or (2) Completion of a specialized course of study at a business or trade school or (3) Completion of a specialized and extensive in-house training or apprenticeship program.Interpersonal Skills - Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the college for purposes of giving or obtaining information, building relationships, or soliciting cooperation.Other Skills - Associate's degree required. Proficiency in computer operations, i.e. MS Office products and the internet; excellent written and oral communication skills; project coordination experience and the ability to work well with all levels of management and staff, as well as outside clients, vendors and partners.

Physical Requirements

Regular exposure to favorable conditions such as those found in a normal office or classroom.The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work.

Wages/Other

The hourly rate for this position is $18.93 to $21.11.
