GENERAL SUMMARY/ OVERVIEW STATEMENT:
The Dana Foundation Neuroscience Justice Accelerator at Mass General Brigham (Neuro JAM) is a newly established grant funded initiative that will train the next generation of neuroscience and society leaders to improve equitable access to beneficial neurotechnology, protect the public from neurotechnology harms, and establish standards to promote responsible societal use of neurotechnology.
Reporting to and working in partnership with the Faculty Directors, the Neuro JAM Senior Program Manager (SPM) will be the lead member of the administrative leadership team. The SPM will have shared responsibility for all administrative, operational, and financial aspects of Neuro JAM. The SPM will be responsible for the development and execution of strategic operational objectives, administrative policies, and procedures, and for providing comprehensive, responsive, and effective services in the following areas: human resources, student appointments, payroll, financial management, community partnerships, vendor relationships, and communications. The SPM will also play a key role in creating the administrative infrastructure required to provide support to faculty, researchers, staff, and students at Neuro JAM.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Specific responsibilities include: Operate as general manager for Neuro JAM, including hiring and supervising staff, coordinating and managing onboarding of students and fellows, advising the faculty directors on policies and procedures, assigning and allocating resources throughout the project to meet goals, and ensuring clear communication on Neuro JAM progress, needs, and goals to the Director of Administration and MGH Department of Neurosurgery staff. Facilitate and plan content of project meetings, making recommendations and pertinent changes to program content and objectives, and providing feedback on ideas and project direction to faculty directors. Work closely with staff at the MGH Department of Neurosurgery to ensure that Neuro JAM operates seamlessly within the MGB ecosystem and adheres to applicable policy and procedures. Specific tasks may include: Prepare and submit financial reports, reimbursements, and payment requests, and process invoices for payment and other financial transactions. Prepare travel, travel reimbursements, and honoraria. Accounts payable: onboarding new vendors, purchase order requests, invoice payments, and event contract management. Provide grant and sponsored proposals materials and budgets. Develop program and event budgets. Organize and prepare materials for financial reports. Oversight of the operational budgets, monthly expense reconciliations, journal corrections, and resolve inconsistencies. Monthly budget meetings, budget reports, and year-end closing requirements. Prepare and analyze financial reports and distribute them to Faculty Directors regularly. Support the ongoing research training work of Neuro JAM, including IRB protocols and approvals, agreements with community partners, and new grant proposal preparation including developing budgets and justifications, supporting documentation, and required institutional information. Oversee programmatic activities of Neuro JAM, including public-facing community events, and provide operational resources/support for new programs and activities. Support the faculty directors to work with project partners and stakeholders to create both deep local roots and wide broad national reach to address critical unmet needs and drive real-world change in neuroscience and society. SKILLS & COMPETENCIES REQUIRED:
Experience in a Higher Education or STEM setting, research, or related organization preferred. Entrepreneurial with an enthusiasm for doing whatever it takes to get the job done. An ability to drive to big-picture goals while maintaining strong attention to detail. Demonstrated strong leadership, supervision, coaching, influencing, and diplomatic skills. Experience serving as an expert source of information, with a collaborative and flexible style; developing trusting long-term relationships with constituents; and creating and maintaining a team culture with a commitment to unparalleled support services and discretion. The position requires political acumen and the capacity to handle many assignments with sensitivity to priorities, shifting demands, and to consequences. Demonstrated attention to detail, good judgment, discretion, and ability to handle sensitive and confidential information required. Superior verbal and written communication, planning, and organizational skills with keen attention to detail and sound judgment. Advanced knowledge of office management and communications. Strong skills in grant management and financial processing. Excellent technical skills with demonstrated proficiency in MS Office Suite (PowerPoint, Excel, Word). EXPERIENCE:
Demonstrated progressively responsible experience in administration and/or organizational leadership; strong preference for at least 3 years of experience as a manager.
