Job Title: Warehouse Coordinator
Location: Hillsborough, New Jersey
Schedule: 40 hour work week: Monday - Friday, 7:00amn-3:30pm (30 minute lunch)
SUMMARY:
The Warehouse Coordinator is a pivotal role within the corporate warehouse and site services department. This largely administrative position combines responsibilities for overseeing daily warehouse operations in conjunction with the additional site services region. The role is essential for ensuring the efficient running of warehouse functions, maintaining safety standards, and accurately tracking inventory. Additionally, the Warehouse Coordinator will oversee the use and management of the Computerized Maintenance Management System (CMMS) to track equipment maintenance and repairs.
DUTIES AND RESPONSIBILITIES:
Inventory Management:
- Maintain accurate records of all inventory movements, including receiving, storing, and distributing materials.
- Perform regular stock audits to ensure physical inventory matches system records.
- Organize and manage inventory in a manner that maximizes space utilization and accessibility.
Shipping and Receiving:
- Coordinate inbound and outbound shipments, ensuring timely and accurate delivery.
- Prepare and process shipping documents, including packing slips, invoices, and labels.
- Oversee the unloading and inspection of incoming deliveries to verify contents against purchase orders.
Warehouse Organization:
- Maintain a clean, organized, and safe warehouse environment, following company standards and OSHA regulations.
- Set up and optimize warehouse layouts to ensure efficient workflows.
- Monitor and report on the condition of equipment, coordinating repairs and maintenance when necessary.
CMMS (Computerized Maintenance Management System) Oversight:
- Utilize the CMMS to schedule and track preventive maintenance, equipment repairs, and inventory of spare parts.
- Ensure that all equipment maintenance records are up-to-date in the system.
- Coordinate with the maintenance team to ensure timely repairs and minimize equipment downtime.
- Generate CMMS reports to monitor performance metrics and maintenance history.
- Liaise with accounting team on providing requested details required for proper billing and project review.
Safety Compliance:
- Enforce safety procedures to prevent workplace injuries and accidents.
- Ensure compliance with all company policies, regulations, and health and safety standards.
Reporting and Communication:
- Prepare regular reports on warehouse operations, inventory levels, shipping/receiving status, and equipment maintenance through the CMMS.
- Communicate effectively with internal departments and external partners to address and resolve any logistics, inventory, or maintenance-related issues.
QUALIFICATIONS:
- Associate's Degree (AA) or equivalent from a two-year college or technical school, or six months to one year of related experience and/or training, or a combination of education and experience.
- Proven experience in warehouse management, logistics, or a similar role is highly desirable
- Strong knowledge of warehouse operations, inventory management systems, and safety standards
- Prior experience with facility/building/construction and operations is preferred
- Experience with CMMS or similar maintenance management systems is required
- Forklift certification or experience operating warehouse equipment (NSU will provide forklift training and certification)
- Prior work experience with building/construction maintenance software
- Proficiency with warehouse management software and other relevant IT tools
- Experience with financial software a plus
- Familiarity with lean manufacturing or continuous improvement processes
- Above-average aptitude for technology and systems; highly proficient in Microsoft Office
- Notary Public Certification to process business and legal documentation a plus
- Excellent organizational and multitasking abilities
- Strong communication skills
CERTIFICATIONS AND LICENSES:
- Forklift certification a plus
