We are offering a permanent employment opportunity for an Administrative Assistant role based in Reading, Pennsylvania. As an Administrative Assistant, you will provide comprehensive administrative support, manage scheduling, invoice processing, and contribute to office management. You'll also handle visitor inquiries and maintain precise records, among other tasks.


Responsibilities:


• Provide administrative support including drafting and editing correspondence, organizing meetings, and preparing documents.

• Manage the scheduling for select members, ensuring efficient use of time and managing appointments.

• Coordinate logistics for meetings, including scheduling, preparing materials, and confirming attendees.

• Serve as the primary receptionist, greeting visitors, answering phones, and responding to inquiries.

• Maintain a detail oriented and welcoming atmosphere in the office, assisting visitors with directions, scheduling, and other needs.

• Manage office supplies and equipment, ensuring the office is fully stocked and operational.

• Support with event planning, special projects, and general office duties as assigned.

• Collaborate with other administrative staff across the organization to ensure smooth operations and communication.

• Maintain clear and effective communication between the office and other departments.

• Assist in preparing reports, presentations, and other documents.

• Manage incoming requests and ensure that they are directed to the appropriate team members in a timely manner.

• Proficiency in answering inbound calls and managing both inbound and outbound calls
• Demonstrated experience in providing exceptional customer service
• Ability to perform accurate and efficient data entry tasks
• Skilled in email correspondence, with emphasis on timeliness and precision
• Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word
• Experience in scheduling appointments and managing calendars effectively
• Prior experience in an administrative assistance role
• Familiarity with administrative office procedures and operations
• Expertise in calendar management, with the ability to handle multiple schedules
• Experience in receptionist duties, including greeting guests and managing front desk operations
• Ability to compose detail-oriented correspondence, with attention to accuracy
