We are seeking a dedicated Administrative Assistant to become a vital member of our team. This role is primarily focused on administrative and customer service within the industry, based in SAN JOSE, California. This position offers a contract employment opportunity in a dynamic work environment.
Responsibilities:
• Facilitating effective communication with candidates and managing all logistical aspects of interviews, including scheduling and preparation of necessary documents.
• Processing and tracking contract hiring requests accurately.
• Working with the HRIS team to provide testing support, including exam scheduling, proctoring, and scoring.
• Assisting in the creation and upkeep of a recruitment status database.
• Providing support for LiveScan fingerprinting and maintaining the fingerprinting profile in PeopleSoft.
• Managing invoicing for fingerprinting tracking (DOJ and Biometrics).
• Keeping up with employment-related reporting for the Civil Service Commission.
• Overseeing and purging recruitment files in line with the records retention policy.
• Carrying out HR front desk duties as required.
• Generating offer letters and other hiring documents.• Proficient in ADP - Financial Services
• Experienced in using ADP Workforce Now software
• Familiar with ATS - Asynchronous Transfer Mode
• Able to use Ceridian effectively
• Knowledgeable in CRM platforms
• Skilled in About Time software
• Capable of conducting Auditing tasks
• Proficient in managing Benefit Functions
• Excellent Communication skills
• Understands and can ensure Compliance in all tasks
