About the Role:
We are seeking a highly skilled and dynamic Administrative Assistant to support our team's diverse business services. This role is integral to the smooth operation of our Air Force Research Lab (AFRL/PRS) customer, providing critical support in records management, case file management, STINFO, security, travel, calendar coordination and other key support needs. The ideal candidate will bring a strong background in administrative tasks, exceptional communication skills, and the ability to manage sensitive information as needed, with discretion.
Key Responsibilities:
- Administrative Support: Provide comprehensive support for the Information Technology (IT) requirements process and IT equipment account management. Assist in correspondence review, coordination, document distribution, and management of time and attendance, including bi-monthly data entry and consolidation.
- Travel and Meeting Coordination: Facilitate travel arrangements through the Defense Travel system, assist with voucher processing, and manage logistics for staff meetings, conference room bookings, and customer schedules.
- Correspondence and Documentation: Prepare, review, and finalize a variety of correspondence, reports, and documents. Manage incoming and outgoing correspondence, ensuring proper distribution and response to leadership and relevant parties.
- Communication: Serve as a point of contact for coworkers, military personnel, government civilians, and contractors, demonstrating professionalism across all ranks and grades.
- Additional Support: Undertake basic duties such as answering phones and providing support for any other administrative requirements as dictated by specific position needs.
- Minimum of 3 years of experience in an Administrative Assistant role or similar position
- Exceptional oral and written communication skills: The position will often act as a point of communication between different levels of an organization, requiring clear and concise communication abilities.
- Proficiency in Microsoft Office tools (Outlook, Word, Excel, etc.): Given the widespread use of Microsoft Office in business environments, proficiency in these tools is essential for creating documents, managing emails, and handling data or presentations. This skill set is crucial for the efficient execution of administrative tasks.
- Must possess an active Secret DoD Clearance or have the ability to obtain one within 90 days of hire: This role will potentially involve handling of sensitive information. The position may involve access to classified information, and as such, a security clearance is necessary. Candidates either need to already have this clearance or must be eligible and able to secure it shortly after being hired.
- Strong attention to detail with a focus on accuracy and quality: This emphasizes the need for precision in work outputs. The position requires the need to manage information that must be accurate and of high quality, whether it's data entry, document preparation, or scheduling.
- Excellent time management skills, with the ability to prioritize and manage evolving tasks efficiently: This skill is crucial for managing the diverse responsibilities of the administrative assistant. It involves being able to determine which tasks are most important or urgent and handling multiple duties effectively without compromising quality.
