As the Administrative Assistant, you will report directly to the Manager or Franchise Owner and provide key support in daily center activities. Using excellent communication and follow up skills, you will handle multiple tasks simultaneously and perform administrative and clerical tasks to support overall business operations, such as answering phones and managing business documentation. In addition, you will provide support to the sales and/or production team as needed. The ideal candidate can work effectively in a fast-paced, deadline-driven environment and is determined to provide outstanding service to both our customers and fellow team members.
RESPONSIBILITIES
- Answers the phone and directs callers to the appropriate individual
- Copies and files documents, work orders, estimates, invoices, etc., as needed
- Helps the sales team and serves as a production backup when needed
- Maintains center appearance by vacuuming, emptying trash cans, cleaning counters and windows, straightening showroom, updating in-store merchandising, etc.
- Orders and manages office supplies
- Helps with accounting duties (printing and calling aging report customers, printing and mailing statements, making bank runs, etc.) and sales (contacting vendors for pricing, providing shipping updates, customer service, etc.)
- Helps manage center documentation and correspondence, which includes inputting data, faxing, mailing, copying, filing, etc.
- Performs other duties as needed, such as answering the phone, helping at the front counter, consulting with customers, etc.
QUALIFICATIONS
- High school diploma or GED required
- Previous service business experience desired
- Proficient computer and internet skills, including Microsoft Office suite
- Good communication skills, both in-person and over the phone
- Strong organizational and time management skills
