As an Administrative Assistant, you will work closely with our Engineers and professional staff. The role will handle all administrative and clerical tasks including managing calendars, sorting mail, and providing general assistance. The admin assistant may also be responsible for event planning and meeting setup and implementation. 

What are the core responsibilities for the role?
  • Manage calendars and schedule meetings/conference calls while demonstrating problem-solving abilities to adjust or prioritize schedules based on last-minute changes
  • Proactively develop relationships with key internal employees, gaining recognition as a team resource
  • Use appropriate judgment and knowledge when sharing sensitive information
  • Perform clerical duties including but not limited to photocopying, faxing, mailing, scanning, and filing
  • Interface with all levels of the organization and with external customers in a professional and effective manner
  • Event planning for an office of 20+ employees (Christmas parties, lunches, etc.)
  • Purchase supplies for the office including breakroom supplies
  • Light cleaning in conference rooms and breakroom
  • Performs other administrative support and special projects as assigned
  • Pick up and deliver plans to local agencies

Qualifications, Skills, and Competencies:
  • A high school diploma or equivalent is required.  Some college preferred
  • 0-2 years of related experience
  • MS Office skills
  • Excellent professional verbal and written communication skills
  • Attention to detail, proactive follow-up, excellent organizational skills, and discretion with confidential information
  • Able to manage workload in a fast-paced, high-intensity work environment
  • Strong interpersonal, time-management, and problem-solving skills
  • Ability to change the focus of work seamlessly, without loss of efficiency, and adapt to unexpected requests
  • Strong sense of urgency, with outstanding prioritization skills and professionalism
  • Focuses on objectives and deliverables, execution of tasks, and fast implementation
  • Flexible, adaptable, and demonstrates openness to change
  • Strives to learn and develop new skill sets
  • Review documents for clerical errors and modify documents
  • Valid Driver’s License
