As an Administrative Assistant, you will be working in Portland at Harder Mechanical Contractors’ Headquarters office. In this role, you will be responsible for supporting our team in all office duties, travel scheduling, and miscellaneous tasks as assigned. The successful candidate will demonstrate a high attention to detail, ability to multitask, and experience working within a team environment. This position requires in-office presence from 7:30am-4:30pm and is not eligible for remote work.

Admins at Harder perform the following daily tasks:
- Support team with data entry and completing tasks essential to business success.
- Schedule and coordinates meetings, appointments, and maintain calendars.
- Communicate effectively with internal and external stakeholders and corporate headquarters.
- Support daily front desk services (including but not limited to shipping, receiving, mail distribution, document scanning, answering phones, monitoring supplies, and payroll delivery).
- Coordinate all travel requests for employee and interview candidates, troubleshoot travel changes, and maintain organized documentation.
- Monitor corporate credit card usage, track and submit receipts in PRIME.
- Provide assistance in filtering and forwarding communications to proper individuals and departments
- Manage corporate documentation such as business licenses, contractor licenses, and client insurance compliance to ensure all requirements are up to date and well-organized
- Assist with miscellaneous special projects as assigned
What you will need to be successful in this role:
- Computer skills, proficient with MS Office Word and Excel, including an eagerness to learn software which is proprietary to Harder
- Strong organizational skills
- Excellent verbal and written communication skills, able to communicate clearly and well to internal and external business partners
- Ability to effectively interact with the construction industry personnel and home office staff members
- Experience organizing, maintaining, and logging documents
- Ability to maintain confidentiality
- Team mentality
Education/Experience
- 2-3 years in an administrative role
- Previous experience in construction preferred
