Administrative Assistant

Thompson Gray, a rapidly growing employee-owned company, is seeking a Administrative Assistant for full-time work in Orlando Florida.

Job Description: The selected candidate will serve as an Administrative Assistant, responsible for providing support to the Headquarters and Staff section of the Program Executive Office Simulation, Training, and Instrumentation (PEO STRI).

Duties will include:

  • Utilize extensive DTS experience, to review, edit, assist, and track multiple personnel.
  • Engage in creating memorandums using AR 25-50
  • Gain access too, and assist with the Automated Time Attendance and Production System (ATAAPS)
  • Responsible for coordination, integration and synchronization of staff actions, events, and activities.
  • Regular engagement with senior level executives, attend meetings, create minutes, track action items, and may represent executive leadership at some meetings.
  • Manage executive's calendars for such activities as conferences, meetings, briefings, hearings, and speeches.
  • Make appointments with authority for commitment of time. Forecast potential requirements, de-conflict problems and plans and project time for historically recurring requirements.
  • Make and coordinate all travel arrangements, to include scheduling, itinerary details, reservations, preparation of travel vouchers and pre and post trip reports and other related correspondence.
  • Receive telephone calls and high-ranking visitors from both the military and civilian communities.
  • Receive and read incoming mail utilizing good knowledge of the executive management's priority activities.
  • Utilize electronic mail and calendaring systems as well as various software packages to prepare reports, briefings, all forms of correspondence, messages, statistical reports, etc., in draft and final version for public delivery and/or publication. Facilitate internal communication (Outlook coordination and collaboration with all levels of staff)

Requirements:

  • Ability to work in a dynamic, evolving, emerging work environment.
  • Must be proficient in Power Point, Word, and Excel
  • Must be proficient at Defense Travel System (DTS)
  • Must be proficient at MS Teams
  • Must be proficient at Microsoft Office Calendar
  • Must be proactive.
  • Excellent organizational skills
  • Be able to prioritize work and meet deadlines.

Candidate must have at least 3 years of relevant experience. For this position, possess an ACTIVE SECRET security clearance. Ability to work independently and excellent communication skills are required.
