We are seeking an Administrative Assistant to join our client's team. In this role, you'll provide essential support to their Controller while maintaining tenant relations, handling light bookkeeping, and ensuring operational efficiency.

Key Responsibilities

  • Provide administrative and clerical support to management.
  • Build and maintain service-oriented relationships with tenants.
  • Manage tenant and vendor communications via phone and email.
  • Draft memos and distribute as needed.
  • Monitor and follow up on monthly delinquencies.
  • Sort, code, and process invoices for approval.
  • Assist the Controller with light bookkeeping tasks, including using QuickBooks.
  • Collect rent payments and address tenant inquiries.
  • Maintain calendars, schedule meetings, and arrange calls.
  • Prepare and reconcile expense reports and credit card statements.
  • Organize and disseminate materials for meetings and events.
  • Serve as a backup for administrative tasks like answering calls, greeting visitors, and sorting mail.
  • Assist in coordinating company events and on-site participation when required.

Qualifications

  • 3+ years of experience in an office environment.
  • Proficiency in QuickBooks and Microsoft Office required (Outlook, Word, Excel).
  • High attention to detail with strong organizational and problem-solving skills.
  • Excellent verbal and written communication abilities.
  • Basic understanding of financial reports and bookkeeping.
  • Flexible, self-starter mindset with the ability to manage multiple priorities.
