Summary

The Administrative Assistant provides essential clerical and office support for the smooth day-to-day operations of Davidson Academy Preschool. This role facilitates effective communication, maintains organized records and files, and ensures the front office creates a warm, welcoming environment for students, families and visitors.


Reports To: Preschool Director


Key Responsibilities:


Reception & Front Office Management

  • Greet and assist all parents/visitors with a friendly, service-oriented demeanor
  • Answer incoming phone calls, emails, and general inquiries professionally
  • Monitor and respond to general preschool email inbox communications
  • Receive, sort and distribute mail/deliveries daily
  • Maintain organized front desk workspace and attractive reception area

Administrative Support

  • Type and prepare correspondence, forms, reports and other materials as needed
  • Coordinate substitutes for teachers who are unable to attend work.
  • Update and maintain accurate student records, databases and filing systems
  • Order and manage inventory of office supplies
  • Schedule appointments, meetings and organize Director's calendar
  • Make outgoing phone calls to communicate with parents as directed
  • Assist in planning logistics for special preschool events and programs

General Office Duties

  • Perform daily opening and closing duties for the main preschool office
  • Monitor security cameras/cameras and door access system
  • Handle petty cash transactions, basic bookkeeping and accounting support
  • Setup AV equipment and make copies/scans as needed
  • Supervise and monitor students waiting in main office area
  • Provide general office clerk duties, errands and special projects as assigned

Qualifications:

  • High school diploma or equivalent required; college coursework a plus
  • Prior administrative/office experience in a school or related setting preferred
  • Strong computer skills with proficiency in Microsoft Office Suite
  • Excellent communication abilities, both written and verbal
  • Outstanding organizational skills and attention to detail
  • Professional, friendly demeanor for interacting with young children and families
