Primary Purpose of Organizational Unit
Facilities Planning and Design is comprised of design professionals who are responsible for the planning, design and management of all capital improvement projects. The projects include new buildings, repairs and renovation of existing buildings, major campus infrastructure, interior design, open space improvements and preservation of historic properties. Facilities Planning and Design ensures that the projects adhere to the principles of adapted land use plan and campus development guidelines.
Position Summary
The primary purpose of this position is to provide administrative, business, financial, and personnel support for Facilities Planning and Design/Engineering and Construction Services including the Executive Director of Facilities Planning and Design, Engineering Director, Engineering/Architectural Supervisors, Facilities Planners, Architects, Engineers, Interior Designers and other staff within the Department. This position requires knowledge of and the ability to apply various policies, procedures, and of information systems. Duties include, but are not limited to, customer service, administering documents, developing reports, budget management, reconciling financial data, and personnel administration.
Minimum Education and Experience Requirements
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience
Considerable knowledge of office management practices; ability to develop reports from operational database; organizational and administrative skills; ability to learn, interpret, and explain policies, procedures, regulations, and methods of operation; proficiency with Microsoft Office software including Word, Outlook, Power Point, and Excel; ability to prioritize workload and handle multiple tasks; excellent oral and written communication skills; ability to plan and organize events; capable of working independently; and ability to effectively interact with others.
Preferred Qualifications, Competencies, and Experience
Experience in a building design or construction environment preferred.
Familiarity with the Design and Construction process, the ability to read and discern the proper filing of project related documents, the ability to communicate effectively both orally and in writing with a broad range of persons to assist in the accurate completion of assigned tasks. Understanding and application of US Department of Education Space Reporting Standards and accounting methods is preferred, along with the ability to read and understand floor plans and related documents.
Required Licenses/Certifications Special Physical/Mental Requirements
This position functions in a fast-paced and non-routine work environment and is expected to change direction as needed to meet and/or support the needs of the Directors, various shops, departments, divisions, vendors and/or customers. Ability to occasionally work under pressure or effectively manage stress to meet critical timelines and/or deadlines.
