Job Description:
We are seeking Execuive Administrative Assistant to join our team. As a key member of the Eau Palm Beach team, you will play an essential role in delivering exceptional service to our guests, upholding the standards of our Forbes Five-Star resort.
Essential Qualifications:
- High school graduate.
- Previous supervisory experience.
- Ability to clearly communicate with guests/visitors and hotel personnel in English.
- Ability to communicate proficiently via verbal and written correspondence.
- Ability to compute basic mathematical calculations.
- Knowledge of computers and Microsoft Office applications.
- Familiarity with preparing statistical reports.
- Demonstrate ability to form positive relationships with guests.
- Previous training in guest relations.
- Previous experience in luxury hotel preferred.
Essential Job Functions:
- Assist the Executive Office staff in overall plan implementation and support of hotel goals and objectives.
- Coordinate travel arrangements, hotel reservations and car rentals with regards to business travel needs and expense reports.
- Coordinate and process invitations to according to specified procedures.
- Prepare complimentary gift certificates for previous opportunity guest according to proper procedures.
- Greet all individuals arriving at the executive offices courteously and assist with their needs.
- Prepare and send faxes as required, receive and distribute faxes to appropriate personnel.
- Maintain accurate trace files and communicate daily traces.
- Document and maintain appointment calendars.
- Assure compliance with complimentary room procedure.
- Oversee set-up of workstations with necessary supplies, resource materials and maintain cleanliness throughout shift.
- Knowledge in the use of all office equipment, computer and manual systems.
- Comply with all hotel and departmental policies and procedures, services/features and hours of operation.
- Oversee supply requisitions and ensure compliance within budgetary guidelines.
- Record messages legibly.
- Type correspondence, memos and reports as assigned according to hotel standards.
- Attend designated meetings, take minutes, and distribute.
- Document all guest requests/complaints and communicate such to respective personnel for proper handling.
- Follow-up on guest satisfaction.
