Administrative Assistant - Eunice, NM
We are seeking a detail-oriented and proactive Administrative Assistant to join our client's team on a contract to hire basis in their Eunice, NM location. Working under the mentorship of a Project Manager, the Administrative Assistant will support various aspects of the project life cycle, including project documentation and maintenance through final invoicing and post-construction activities.

We are seeking a detail-oriented and proactive Administrative Assistant to join our client's team on a contract to hire basis in their Eunice, NM location. Working under the mentorship of a Project Manager, the Administrative Assistant will support various aspects of the project life cycle, including project documentation and maintenance through final invoicing and post-construction activities.
Key Responsibilities:
- Project Support:
- Assist with the coordination of project activities, ensuring timely and accurate documentation.
- Process contract-related transactions, including Change Orders and Proposed Change Orders to suppliers, subcontractors, and owners.
- Prepare accurate and timely Subcontracts and Purchase Orders for subs/suppliers, ensuring signed copies are issued, data entered into the software, and filed appropriately.
- Maintain current project files and provide copies of applicable correspondence as needed.
- Process timely and accurate Submittals, Requests for Information (RFI), and Transmittals.
- Obtain and file Certificates of Insurance as required by the project.
- Maintain current and accurate document logs.
- Assist with the preparation of closeout documentation, including as-builts, O&M manuals, and warranties.
- Oversee and ensure the completion of the review, approval, and distribution process.
- Previous project coordination experience a plus, or solid administrative support skills.
- Construction industry experience preferred but not required.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in project management software and Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Attention to detail and a high level of accuracy.
