POSITION OVERVIEW:

We are seeking a highly organized and detail-oriented Executive Administrative Assistant to provide comprehensive support to the Executive Office. The ideal candidate will be a proactive problem-solver with exceptional communication and interpersonal skills, capable of thriving in a fast-paced environment. This role requires a strong sense of discretion, confidentiality, and the ability to anticipate needs

KEY RESPONSIBILITIES

  • Administrative Support:
    1. Manage the General Manager's calendar, schedule appointments, and coordinate travel arrangements.
    2. Prepare and edit correspondence, presentations, and reports.
    3. Screen phone calls, emails, and mail, prioritizing and directing inquiries as appropriate.
    4. Maintain organized filing systems, both electronic and physical.
    5. Assist with expense reports and budget tracking.
  • Guest Relations:
    1. Act as a liaison between the General Manager and guests, addressing inquiries and resolving concerns with professionalism and tact.
    2. Assist with VIP guest requests and ensure personalized service.
  • Team Support:
    1. Provide administrative support to other departments as needed.
    2. Assist with meeting planning and coordination, including preparing materials and arranging logistics.
    3. Contribute to a positive and collaborative work environment.

QUALIFICATIONS and REQUIREMENTS:

  • Experience: Proven experience as an Executive Administrative Assistant or similar role, preferably in the hospitality industry.
  • Education: High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Skills:
    1. Excellent written and verbal communication skills.
    2. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    3. Strong organizational and time management skills with the ability to prioritize tasks.
    4. Ability to maintain confidentiality and exercise discretion.
    5. Exceptional interpersonal skills and a professional demeanor.
    6. Knowledge of hotel operations is a plus.
