Our client, a leader in the food distribution industry, is looking for an organized and proactive Administrative Assistant to support their Human Resources team. Position Overview: As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of the HR department. The ideal candidate will thrive in a fast-paced environment, demonstrating flexibility and strong multitasking abilities. Job Title: Administrative Assistant Location: Norman, Oklahoma Pay Range: $17.50 What's the Job? Support team members with tasks such as copying, filing, and internet research. Perform a variety of administrative duties, including word processing, organizing and maintaining electronic and paper files, and scheduling meetings. Manage calendars, process incoming mail, answer phone calls, and maintain reports and data. Assist in preparing records related to operations and personnel changes. Help develop reports for management at multiple levels. Maintain confidentiality of sensitive information at all times. Support various HR programs, projects, and processes. Serve as a liaison for administrative issues related to purchasing, personnel, facilities, and operations. Process invoices and expense reports for payment. Run errands, such as mailing items at the Post Office. Provide assistance to other employees as needed. Carry out additional support duties as assigned. What's Needed? Education: High School diploma or equivalent required. Bachelor's degree in Human Resources or a related field from an accredited college or university preferred. Experience: 0-3 years of professional administrative support experience in a corporate environment. Professional Skills: Ability to read and comprehend instructions, correspondence, and memos. Strong writing skills for effective correspondence. Capable of presenting information in one-on-one and small group settings. Excellent verbal and written communication skills. Proficient in basic math operations (addition, subtraction, multiplication, and division) with whole numbers, fractions, and decimals. Ability to follow written, oral, or diagrammatic instructions effectively. Skilled in maintaining organized filing systems (alphabetical, numerical, and chronological). Problem-solving abilities in standardized situations with multiple variables. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including experience with tables, formatting, formulas, graphics, and project tracking. Strong word-processing skills (50-60 wpm) and business writing ability, with attention to detail in proofreading. Excellent organizational, analytical, and follow-up skills. Ability to manage multiple projects simultaneously with minimal supervision. Experience communicating with all levels of management, including executives. Demonstrates a strong sense of urgency and thrives in a fast-paced environment. Enthusiastic and creative problem-solver, flexible, and eager to learn. Committed to maintaining confidentiality and exercising discretion with sensitive information. Physical Demands: Regularly required to sit, stand, walk, and use hands to operate a computer keyboard, mouse, and telephone. Frequently required to sit and reach with hands and arms. Occasionally lift and/or move up to 25 pounds. Working Conditions: To succeed in this role, the individual must effectively perform all essential duties.
