Position: Executive Assistant to the President

Job Summary: We are seeking a highly organized and proactive Executive Assistant to support our President. The ideal candidate will have exceptional organizational skills and the ability to manage a variety of multiple tasks efficiently. This role involves coordinating schedules, managing emails, preparing project budgets, estimating and conducting site visits.

Key Responsibilities:

  • Schedule Management: Coordinate and manage the President's daily schedule, including meetings, appointments, and travel arrangements.
  • Email Management: Monitor and respond to emails on behalf of the President, ensuring timely and professional communication.
  • Budget Assistance: Assist in preparing and managing budgets, tracking expenses, and ensuring financial accuracy.
  • Site Visits: Organize and accompany the President on site visits, taking notes and ensuring follow-up on action items.
  • Administrative Support: Provide general administrative support, including document preparation, filing, and office organization.
  • Communication: Act as a liaison between the President and internal/external stakeholders, maintaining clear and effective communication.
  • Project Coordination: Assist in coordinating construction projects, ensuring timelines and deliverables are met.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Procore, Microsoft Office Suite (Project, Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Experience in the construction or hospitality industry is a plus.
