Job Description

This role is perfect for someone who enjoys wearing multiple hats, working closely with senior leadership, and handling various administrative tasks to ensure the smooth operation of the office.
The Administrative Assistant will be responsible for providing comprehensive administrative support to executive leadership while ensuring the day-to-day operations of the office run smoothly. This role requires a highly organized, tech-savvy professional who can manage a variety of tasks, troubleshoot office systems, and assist in event coordination and vendor management. The ideal candidate will have a balance of technical skills and strong communication abilities.
Compensation: $75,000 + DOE
Location: Purcellville, VA
Schedule: Monday – Friday, standard hours
Administrative Assistant Responsibilities:
- Manage executives’ calendars, schedule appointments, and coordinate meetings. Arrange travel accommodations, transportation, and itineraries for executives when needed.
- Handle phone calls, emails, and correspondence on behalf of the executive team.
- Prepare and edit documents, reports, presentations, and spreadsheets as needed.
- Provide basic technical support for office equipment and Mac/Apple systems. Coordinate with external IT support when necessary for advanced troubleshooting.
- Oversee the office’s general upkeep, ensuring cleanliness and functionality.
- Manage office supplies inventory and order replacements as needed.
- Handle vendor relationships, including coordinating services for maintenance, supplies, and catering.
- Track and organize office expenses, including travel expenses and invoices.
- Assist in planning and organizing workshops, group executive coaching sessions, and internal meetings.
- Support event setup, including managing catering, AV equipment, and space layout.
Greet visitors and clients, ensuring a professional and welcoming environment. - Maintain accurate and organized filing systems, both electronic and physical. Input and manage data using CRM software, ensuring client records are up to date.
- Work closely with the sales admin and provide mutual support across office operations.
Maintain confidentiality of sensitive information.
Administrative Assistant Education/Experience/Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Minimum of 2-4 years of experience in an administrative or executive assistant role. (Fresh grads with internships/summer encouraged to apply)
- Strong proficiency in Mac OS/Apple systems, including troubleshooting office technology.
- Familiarity with CRM software (experience with Monday is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Excellent verbal and written communication skills, with the ability to communicate effectively with all levels of the organization.
- Strong multitasking abilities, with the capacity to manage multiple projects and deadlines in a fast-paced environment.
- High level of accuracy and attention to detail in all work tasks.
- Strong analytical and logical thinking skills, capable of identifying and resolving issues quickly.
- Experience in event planning and managing logistics for corporate functions or workshops.
- Demonstrated ability to work well both independently and as part of a team.
Preferred:
- Experience in a start-up environment or similar.
- Knowledge of basic accounting/invoicing/billing.
