Position Summary:
Assisting the Director of Procurement, the Procurement Analyst at Manhattan University plays a critical role in managing the procurement activities, ensuring the efficient acquisition of goods and services that support the institution’s operational and academic objectives. This role involves establishing and maintaining vendor relationships, obtaining competitive bids from qualified vendors, assisting with RFPs, contract negotiations, and serving as a key user of both the Unimarket E-Procurement and Banner systems. The Procurement Analyst monitors departmental purchases to ensure adherence to budgetary and purchasing procedures, provides training on procurement policies and functionality of the Unimarket E-Procurement system.
Key Responsibilities: Include evaluating vendor performance, analyzing procurement trends, volume and total expenditures relative to approved budgets and ensuring compliance with college policies, federal and state regulations, and industry standards. This position requires strong analytical and communication skills, attention to detail, and an understanding of technology.
Responsibilities:
- Assist the Director of Procurement to develop and implement procurement strategies that align with the college’s goals, ensuring cost-effective and timely acquisition of high-quality goods and services.
- Establish and maintain relationships with vendors, assist in facilitating RFPs and ensure compliance with terms and conditions.
- Monitor and counsel departmental purchases to comply with campus budgetary and purchasing procedures.
- Train department users on procurement policies and functions, including the use of the Unimarket system.
- Assist departments with obtaining competitive quotes and purchase order creation.
- Address and reconcile any issues that develop within order entry, processing, and delivery for college departments or vendors.
- Maintain and update data adjustments as necessary to ensure accurate date user profiles, vendor contacts, budgets, approval chains, and other required fields of information in both Unimarket and Banner.
- Manage and communicate with staff and administrators on updates, new developments and topics related to procurement and outside office service contractors.
- Work closely with the Controller's Office on purchasing and finance related procedures and mediate any questions or concerns related to budgets, invoices, or payments.
- Monitor expenditures and provide monthly reports to units on spending relative to budget.
- Continuously assess and improve procurement processes, leveraging technology and best practices to enhance efficiency and effectiveness.
- Manage campus cell phone program including additions/deletions/upgrades/service plans.
- Assist with managing college vehicle fleet, EZ pass, driver registration process and DMV/Lens program.
Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- Minimum of 3 years of related experience preferred.
- Experience in Procurement, preferably in an educational or similar institutional setting.
- Strong understanding of procurement principles, practices, and techniques.
- Strong communication, and interpersonal skills.
- Knowledge of Microsoft Office, Banner, Unimarket, or related e-procurement program preferred.
- Strong analytical and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to foster positive relationships and create partnerships with various constituent groups.
- Ability to work in a fast-paced environment, manage multiple priorities simultaneously and must be detail oriented.
